CPAP Consultant & Receptionist

ROLE PURPOSE

Deliver high-quality, patient-centred CPAP therapy assessment, education, and ongoing support to patients diagnosed with sleep apnoea, enabling successful initiation, adherence, and long-term treatment outcomes.

The CPAP Consultant is responsible for clinical CPAP treatment and initiation processes, patient education, therapy setup, troubleshooting, follow-up care, detailed clinical communications to referring physicians and product recommendations, supporting marketing driven CPAP promotions and sales while also contributing to clinic operations, stock management, and the maintenance of CPAP Victoria’s professional and cultural standards.

ROLE RESPONSIBILITIES & ACCOUNTABILITIES

1. Deliver CPAP Consultation & Patient Education

Scope: Patient assessment, therapy initiation, education

Outcome: Confident patients and effective commencement of CPAP therapy

• Treat patients referred for CPAP therapy in line with clinical guidelines and prescriptions
• Educate patients on sleep apnoea, CPAP therapy benefits, and treatment expectations
• Provide clear instruction and practical training on CPAP device operation, cleaning, and maintenance
• Recommend appropriate CPAP devices, masks, and accessories based on individual clinical needs, comfort, and lifestyle
• Support patients with mask fitting and comfort optimisation
• Advocate for patients, ensuring they understand and remain engaged in their therapy journey

2. Provide Ongoing Therapy Support & Follow-Up

Scope: Follow-up consultations, adherence monitoring, troubleshooting

Outcome: Improved compliance and sustained therapy outcomes

• Schedule and conduct follow-up appointments to assess therapy adherence and effectiveness
• Troubleshoot therapy issues, including mask fit, comfort, pressure tolerance, and device performance
• Adjust therapy solutions in line with scope of practice and prescriptions
• Monitor patient progress and escalate concerns to physicians where required
• Provide guidance on sleep hygiene to support therapy effectiveness and overall sleep quality

3. Collaborate with Healthcare Professionals

Scope: Multidisciplinary communication, clinical coordination

Outcome: Coordinated patient care and physician confidence

• Work collaboratively with doctors, sleep physicians, and allied health professionals - Consistently provide professional updates on CPAP patient progress where required to referring physicians
• Ensure adherence to medical prescriptions and referral requirements
• Support patient care and referral requests by coordinating and recording important prescription information, CPAP therapy setup, and ongoing follow up

4. Maintain Accurate Clinical Documentation

Scope: Patient records, compliance documentation

Outcome: Accurate records and continuity of care

• Maintain detailed and accurate patient records, including assessments, recommendations, follow-up outcomes, and therapy adjustments
• Document therapy plans and changes in line with CPAP Victoria expectations for accurate record keeping and recall
• Ensure confidentiality and data accuracy across all patient documentation

5. Manage Clinic Sales & Stock Responsibilities

Scope: Stock control, product sales, merchandising

Outcome: Stock availability and appropriate sales outcomes

• Monitor and manage clinic stock levels of CPAP devices, masks, and accessories
• Place and receive stock orders, unpacking and checking items for accuracy
• Maintain organised product displays within the retail and consulting areas
• Assist patients with accessory and product selection, providing personalised recommendations
• Process product returns, exchanges, and warranties in accordance with company policies
• Conduct stocktakes and report discrepancies
• Ensure pricing and monthly sales and promotions are accurate and implemented as directed

6. Support Clinic Operations & Maintenance

Scope: Clinic readiness, equipment hygiene, daily operations

Outcome: Safe, professional, and efficient clinic environment

• Prepare the clinic for opening, ensuring all areas are clean, organised, and patient-ready
• Sterilise and prepare reusable equipment, adhering to infection control standards
• Maintain consulting rooms and clinic spaces to a high standard of cleanliness and presentation
• Follow up overdue trial patients, ensuring timely return and condition of trial equipment
• Clean and maintain trial stock, ensuring hygiene and readiness for patient use
• Order stationery and clinic supplies as required
• Close the clinic at end of day, completing security and preparation tasks

7. Contribute to Team & Clinic Collaboration

Scope: Team communication, operational support

Outcome: Consistent service delivery and team effectiveness

• Respond promptly to internal phone and email enquiries
• Participate in team meetings and training activities
• Support clinic operations during periods of increased demand
• Escalate maintenance or clinic operational issues to the Territory Manager
