We're recruiting for a growing veterinary specialty organization seeking a highly organized, data-driven Business Operations Manager to help keep operations, systems, reporting, onboarding, and company-wide projects moving forward across multiple locations.

This is a highly visible role working across departments and directly supporting senior leadership. The ideal candidate is someone who loves data, enjoys bringing structure to moving pieces, and can turn priorities into organized processes and measurable results.

If you're the person who notices what isn't getting done, figures out why, and helps build a better process-you'll likely enjoy this role.

What You'll Do

Reporting, Analytics & Business Operations

  • Prepare and distribute recurring operational and performance reports
  • Build and maintain KPI dashboards and leadership scorecards
  • Analyze operational data to identify trends, bottlenecks, and opportunities for improvement
  • Track missing information and follow up with appropriate team members
  • Help leadership turn data into actionable operational decisions
  • Prepare materials, agendas, presentations, and follow-up items for leadership and company meetings

Processes, Systems & Projects

  • Develop, maintain, and improve SOPs, workflows, policies, templates, and internal resources
  • Help teams consistently adopt established processes and systems
  • Coordinate system implementations, documentation, training, and ongoing support
  • Manage user access, permissions, account changes, and system records
  • Lead or coordinate company-wide operational projects from planning through implementation
  • Track project owners, deadlines, decisions, deliverables, and results
  • Identify inefficient processes and help develop practical solutions

Onboarding, Training & People Operations

  • Partner with HR and department leaders on recruiting coordination, onboarding, offboarding, training, and employee review processes
  • Coordinate new-hire readiness, including system access, equipment, training assignments, schedules, and required documentation
  • Manage operational offboarding to ensure access, company property, records, and responsibilities are appropriately transitioned
  • Track employee reviews and required follow-up
  • Coordinate learning and development assignments and completion
  • Maintain tracking for licenses, certifications, insurance, and other required documentation
  • Flag upcoming expirations or missing information before they become an issue

Company-Wide Operational Support

  • Coordinate educational and professional development programs
  • Assist with company travel logistics and related resources
  • Maintain contract tracking, including key dates, renewals, owners, and required follow-up
  • Review accounts payable submissions for appropriate documentation and approval routing
  • Coordinate vendors, facilities, and other shared operational needs
  • Take ownership of additional operational priorities as the organization continues to grow

What We're Looking For

  • Bachelor's degree in business, healthcare administration, operations, or a related field
  • 3+ years of experience in human or animal healthcare
  • 3+ years of experience in business operations, operational management, project coordination, business intelligence/data management, or a related role
  • Healthcare and operations experience may overlap
  • Strong analytical skills and genuine interest in working with data
  • Experience preparing reports, tracking KPIs, and building or maintaining dashboards
  • Strong proficiency with spreadsheets, presentations, shared documents, project management tools, and communication platforms
  • Excellent organization, written communication, and follow-through
  • Ability to coordinate projects and priorities across multiple departments
  • Comfortable working in a growing environment where priorities can evolve

Technology & AI

We're looking for someone who is comfortable using technology to make work more efficient.

Experience using AI tools to improve workflows, develop simple scripts or automations, analyze information, or streamline operational processes is important for this role.

Preferred Experience

  • 5+ years of relevant operations experience
  • Veterinary or animal healthcare experience
  • Experience supporting a multi-location healthcare or specialty organization
  • Experience working closely with senior leadership
  • Experience coordinating cross-functional projects and process improvements

Full-time benefits include:

  • 401(k) with employer match
  • Health savings account
  • Life insurance
  • Three weeks of PTO beginning at hire
  • Parental leave
  • Employer-paid Employee Assistance Program
  • Continuing education and professional development assistance
  • Employee pet-care discounts
  • Negotiable relocation assistance

What Success Looks Like

Success in this role means leadership has accurate information when they need it, projects continue moving, systems and processes stay organized, and important details don't fall through the cracks.

You'll help ensure:

  • Reports and dashboards are accurate and delivered on time
  • Operational issues are identified and followed through to resolution
  • Meetings are organized and result in clear next steps
  • SOPs and documentation remain current and accessible
  • New employees are prepared for their first day
  • Offboarding is completed thoroughly and on time
  • Reviews, training, credentials, contracts, and renewals are tracked appropriately
  • Company-wide projects and operational priorities stay on schedule

This is an excellent opportunity for someone who enjoys being at the center of a growing organization and wants to have a meaningful impact on how the business operates.
