What’s the role
Shell Canada is seeking for a Production Time Focal to join our Shell Scotford Refinery.
As a Production Time Focal, you will be responsible for all hourly payroll entries including reporting, problem-solving, and troubleshooting. Further, you will serve as administrative support for the Asset Teams.
Typically:
- Operates within the context of high business criticality, with correspondingly important deadlines for the job holder
- Deals with a variety of unambiguous questions, checks correctness of data and adjusts with several sources of information within own area/department
- Works within well-defined and standardized procedures and practices and is supervised on progress and results by manager
- Interaction with others requires courtesy, tact, and effectiveness in providing and obtaining information, to understand the background of information. Frequently deals with confidential information, handling time and topic sensitive information
What you’ll be doing
Accountabilities
Payroll:
- Maintaining a skill level in Workday and a constant knowledge of the Hourly Payroll Practices and Collective Bargaining Agreement
- Advisor for SchedulePro tool used for shift scheduling and timesheets by Production Team Members
- Timely and accurately input of exception time into Workday (Overtime, absences, shift changes, work up, etc.)
- Acting as a resource for payroll inquiries/issues for PTM/CTM’s in consultation with HR Service Desk if required
- Auditing time entries prior to payroll deadline each pay period per HR auditing
- Validate and assist in year-end quota balance reconciliations for payouts and carryovers.
- Ensuring appropriate quota entitlements are updated in Workday and Schedule Pro for each hourly employee throughout the year
- Interface with Human Resources and the payroll team on overtime policy issues, data entry and reporting processes
- Managing and resetting OT Equalization hours when required
- Monitoring and actioning Shell Request Tool tickets
- Onboard new Production hourly employees e.g. training, pay practices and timesheet process by giving presentations and communication emails.
- Coach PTMs/CTMs and Team Leads when necessary to make the process effective and to ensure consistency
- Acting as System Administrator for Schedule Pro
- Mentoring hourly employees for timesheet accuracy
- Onboarding/Offboarding hourly employee
- Balancing Union Averaging Agreement
- Maintaining Quota hours (balancing)
Administrative:
- Administration duties including but not limited to stationery order, scheduling meetings, office management
- Timely and accurate resolution of expense statements
- SharePoint Functional Site Owner for Asset team
- SharePoint Records Management Focal for Asset Team
- Support Production with ad-hoc projects to deliver for the business
- Other duties as required
What you bring
- Must have legal authorization to work in Canada on a full-time basis
- You must have a minimum of three (3) years of experience in Office Administration or a similar role
- Minimum of a Business Administration Certificate/Office Administration Certificate
- Proficient in using office software such as MSWord, PowerPoint, Excel, Outlook, SharePoint, etc.
- Experience with balancing competing priorities meeting time sensitive deadlines
- Excellent communication and interpersonal skills and ability to interact with staff at various levels
- Handles sensitive matters with integrity and discretion
- Excellent time management to work within tight deadlines, data accuracy and ability to understand complex pay policy and procedures
