What’s the role

The Terminal Operations Administrator (TOA) provides administrative and operational support to terminal activities, including dispatch coordination, inventory management, and the preparation and submission of reports and documentation required by local regulations to monitor terminal performance. The role also supports key operational activities such as product handling, permit-to-work administration, asset management, and emergency response. As a critical member of the Terminal Team, the TOA helps ensure safe, compliant, and efficient terminal operations while gaining valuable hands-on experience in Distribution Operations.

Key responsibilities of the TOA are outlined below. Please note that specific accountabilities may vary depending on the scope, complexity, and operational requirements of each terminal site.

What you’ll be doing

As a Terminal Operations Administrator (TOA), you will play a vital role in ensuring the safe, compliant, and efficient operation of the terminal. Your responsibilities may include:

  • Coordinate daily dispatch activities, including preparing loading, delivery, and shipping documentation, and supporting customer requests for delivery records.
  • Monitor and reconcile inventory levels, investigate discrepancies, and maintain accurate records of all stock and product movements.
  • Prepare and submit daily operational reports, ensuring all documentation is accurate, approved, and properly maintained.
  • Support the preparation of reports and documentation required by regulatory and government authorities.
  • Maintain organized site records and ensure compliance with document retention requirements.
  • Assist with day-to-day office and terminal administration, including managing office and maintenance supplies.
  • Support the Terminal Manager in coordinating contractor activities and workforce administration, where applicable.
  • Contribute to the implementation of operational, safety, and asset management standards across the terminal.
  • Participate in the development and execution of site operating procedures, particularly for safety-critical activities.
  • Support vessel, pipeline, truck, and rail loading or unloading operations while ensuring compliance with operational and safety standards.
  • Issue and manage permits for non-routine work activities, ensuring all tasks are carried out safely and in accordance with established procedures.
  • Conduct routine inspections, monitoring activities, and support maintenance programs to ensure terminal reliability.
  • Participate in emergency response activities and promptly escalate potential incidents or crisis situations.
  • Perform operational rounds, monitor site conditions, and ensure effective shift handovers.
  • Support compliance with quality and environmental management systems where applicable.
  • Actively contribute to safety, operational excellence, compliance, and community engagement initiatives.
  • Take ownership of assigned responsibilities, collaborate effectively with team members, and contribute to continuous improvement efforts.
  • Promote a strong safety culture by demonstrating safe work practices and supporting Shell's commitment to protecting people and the environment.
  • Build and maintain positive working relationships with colleagues, contractors, customers, suppliers, and regulatory authorities.

What you bring

  • No prior experience in Distribution Operations is required. Training and support will be provided.
  • A degree or background in Engineering or a related technical field is preferred.
  • Self-motivated, proactive, and able to manage tasks effectively with minimal supervision.
  • Strong organizational and problem-solving skills with excellent attention to detail.
  • Effective verbal and written communication skills, with the ability to collaborate across different teams and stakeholders.
  • Demonstrates a strong commitment to safety, compliance, and continuous improvement.
  • This role is based at one of our terminal locations, with assignments depending on business requirements.
