Position: Sales Support Executive
Location: Mumbai - Kalwa
Industry Preference: ELV, MEP, Building Automation, Engineering company or Industrial Products
1. Job Purpose
To provide comprehensive commercial, administrative, analytical support to the sales & Finance team by managing sales data, preparing MIS reports, developing professional presentations, coordinating customer requirements, maintaining commercial documentation, and ensuring timely availability of accurate business information for management decision-making.
The role requires a commercially oriented, detail-focused professional with strong proficiency in MS Excel, PowerPoint, Word, and data management.
2. Key Responsibilities
A. Commercial Operations & Documentation
Prepare and maintain commercial documents, internal presentations , MIS and other relevant records.
Maintain accurate records of customer details, project information, and commercial commitments.
Coordinate with finance, and internal commercial teams to resolve documentation related issues.
Ensure timely updates to commercial trackers and databases.
B. Sales Support
Provide backend support to the sales team for day-to-day customer requirements.
Follow up internally with relevant departments to ensure timely responses to customer queries.
Maintain customer databases, contact lists, project trackers, and communication records.
Assist sales personnel in preparing customer-specific reports, proposals, and review documents.
Support customer meetings, business reviews, and sales coordination activities.
C. MIS Reporting, Data Preparation & Analysis
Prepare daily, weekly, monthly, and quarterly sales reports.
Consolidate data relating to sales performance, order booking, revenue, pipeline, quotations, and project status.
Develop and maintain Excel-based MIS dashboards and management reports.
Prepare customer-wise, product-wise, region-wise, and salesperson-wise performance reports.
Maintain accurate databases and ensure data consistency across reporting formats.
Provide analytical inputs to support sales reviews, forecasting, and business planning.
D. MS Office & Presentation Management
Demonstrate strong working knowledge of Microsoft Excel, PowerPoint, and Word.
Use Excel functions, PivotTables, lookup functions, charts, conditional formatting, and data validation for reporting and analysis.
Prepare professional PowerPoint presentations for management reviews, customer meetings, business plans, and sales performance reviews.
Convert raw business data into clear charts, graphs, summaries, and actionable insights.
Prepare sales review decks, monthly performance presentations, business updates, and meeting minutes.
Format commercial proposals, reports, and other business documents professionally.
Maintain standardized presentation templates and reporting formats.
3. Required Skills & Competencies
Technical Skills
Advanced or strong working knowledge of MS Excel.
Strong PowerPoint presentation preparation skills.
Proficiency in MS Word, Outlook, and general office applications.
Ability to prepare MIS reports, dashboards, and business summaries.
Strong data compilation, validation, analysis, and documentation skills.
Familiarity with ERP or CRM systems such as SAP, Salesforce, or equivalent is an advantage.
Soft Skills
Excellent written and verbal communication.
Strong presentation and report-writing skills.
High attention to detail and numerical accuracy.
Good planning, coordination, and follow-up capabilities.
Ability to work independently and meet deadlines.
Professional attitude, ownership, confidentiality, and a customer-focused approach.
