Key Responsibilities

Agreement Preparation and Oversight

  • Prepare customer service agreements and amendments for prospective and existing customers using approved templates and language.
  • Monitor agreements throughout the contracting process, tracking review status, approvals, signatures, and outstanding requirements.
  • Review requests for completeness and accuracy, asking follow-up questions to clarify customer needs and resolve missing information.
  • Coordinate proposed changes and nonstandard terms with Legal and other appropriate departments for review and approval.
  • Maintain organized, accurate agreement records and make current documents accessible to authorized stakeholders.
  • Develop a thorough understanding of Surge Staffing’s business model, service offerings, and operational requirements to support effective contracting decisions.

Cross-Departmental Coordination

  • Serve as a liaison between Legal, Safety, Workers’ Compensation, Credit, the field, and other internal stakeholders.
  • Coordinate departmental input and communicate requirements, outstanding questions, and next steps.
  • Follow up proactively to keep agreements moving and escalate delays or unresolved issues when needed.
  • Help ensure relevant credit, safety, insurance, and operational considerations are addressed through the appropriate review process.

Field Support and Customer Service

  • Build strong relationships with branch teams and field leadership, providing a seamless and responsive contracting experience.
  • Serve as a primary resource for questions about agreement status, required documentation, and contracting procedures.
  • Educate the field on approved agreement terms, customer obligations, and operational requirements, involving Legal when interpretation is needed.
  • Explain the contracting process clearly and help field teams understand their responsibilities and next steps.
  • Respond to requests with professionalism, urgency, and consistent follow-through.

Reporting and Business Development Support

  • Prepare weekly reports for the executive team summarizing contracting activity, pending agreements, outstanding issues, and priority items.
  • Track turnaround times and identify recurring delays or opportunities to improve workflow.
  • Review new customer profiles and research company operations, locations, and organizational structure to identify potential national account opportunities.
  • Share qualified leads and supporting information with the appropriate national accounts or sales leadership.
  • Use reliable external resources to verify business information and support contracting research.

Workflow Oversight and Improvement

  • Organize and prioritize contracting requests based on business needs, deadlines, and complexity.
  • Monitor daily workflow to support timely completion and consistent quality.
  • Develop and maintain process documentation, checklists, and field resources.
  • Identify opportunities to improve communication, reduce errors, and simplify the contracting experience.
  • Support training and guidance for team members involved in the contracting process.

Qualifications

  • 3+ years of experience in contract administration, business operations, sales support, or a related role.
  • Previous supervisory, team lead, or workflow coordination experience preferred.
  • Experience preparing, reviewing, or coordinating customer service agreements and amendments.
  • Strong customer service skills and the ability to build productive relationships across departments and locations.
  • Excellent written and verbal communication skills, including the ability to explain agreement requirements and processes clearly.
  • Strong organizational skills with the ability to prioritize competing requests and meet deadlines.
  • Meticulous attention to detail and a commitment to accuracy.
  • Ability to ask thoughtful questions, research information, and follow issues through to resolution.
  • Sound judgment in identifying issues that require Legal or leadership review.
  • Proficiency in Microsoft Office, particularly Word, Excel, and Outlook.
  • High school diploma or equivalent required; associate or bachelor’s degree in business administration or a related field preferred.

Preferred Experience

  • Experience in staffing or another multi-location service organization.
  • Familiarity with customer onboarding, credit review, safety requirements, and workers’ compensation considerations.
  • Experience using contract management systems, CRM platforms, or electronic signature tools.
  • Experience preparing executive reports and researching national account opportunities.

What Success Looks Like

  • Accurate agreements and amendments that move efficiently through review and approval.
  • Responsive, dependable support for field teams.
  • Clear communication and timely follow-up across departments.
  • Executive reporting that provides visibility into contracting activity and outstanding issues.
