Job Overview

The Accounts Payable Clerk handles the day-to-day financial transactions of the company, focusing primarily on processing, verifying, and reconciling vendor invoices and outgoing payments. This role ensures that suppliers are paid accurately and on time while maintaining clean, detailed financial records and healthy vendor relationships.

Primary Responsibilities

• Receive, match (3-way matching with Purchase Orders and Receiving documents), and code invoices
• Review invoices for accurate charges, sales tax, mathematical correctness, and general ledger coding
• Obtain appropriate approvals from department managers before processing
• Prepare check runs, ACH/EFT transactions, and wire transfers for scheduled vendor payments
• Process employee expense reports and reimbursement requests
• Monitor payment deadlines to take advantage of early payment discounts and avoid late fees
• Reconcile vendor statements and research any billing discrepancies or missing invoices
• Maintain the accounts payable general ledger and post transactions daily weekly
• Assist with month-end and year-end closing processes
• Serve as the main point of contact for external vendor billing inquiries
• Setup new vendor accounts and collect W-9 forms
• Assist in annual 1099 tax filing preparation
• Additional reasonable duties, as assigned

Requirements

Desired Qualifications

• High school diploma or GED required; Associate degree in Accounting, Business, or related field preferred
• 1-3 years of experience in accounts payable, general accounting, or data entry preferred
• Proficiency in accounting software (e.g., QuickBooks, NetSuite, SAP, or Microsoft Dynamics)
• Intermediate to advanced skills in Microsoft Excel (data entry, VLOOKUP, pivot tables)
• High attention to detail and strong data accuracy
• Excellent organizational and time management skills
• Solid verbal and written communication skills for vendor interactions

Salary Description
