Role Overview
The Maintenance Coordinator supports the day-to-day coordination and administration of Toters' facility maintenance activities. The role coordinates maintenance requests with other stakeholders in Toters Fresh, schedules technicians and contractors based on task priority, urgency and operational requirements , tracks expenses and documentation, and ensures maintenance issues are followed through to resolution.
Key Responsibilities
- Coordinates daily maintenance requests across Toters Fresh warehouses, ensuring timely response and full responsiveness at all times.
- Assign preventive and corrective maintenance tasks to Handymen, technicians, and external contractors in coordination with Management.
- Follow up on open maintenance tickets and ensure timely completion.
- Schedule preventive maintenance activities and service visits based on plan agreed on with Management.
- Coordinate with warehouse operations teams to minimize disruption.
- Maintain records of maintenance activities, repairs, equipment, warranties, and service contracts.
- Collect and organize quotations, invoices, and supporting documentation.
- Track maintenance expenses against approved budgets.
- Assist with basic accounting and administrative activities related to maintenance.
- Follow up with suppliers and service providers regarding quotations, invoices, payments, and outstanding works.
- Monitor recurring maintenance issues and escalate them to the management.
- Prepare basic maintenance reports and trackers.
- Support procurement of maintenance materials, tools, and spare parts.
- Ensure maintenance documentation is complete and properly filed.
Requirements
- Bachelor’s degree in Civil Engineering, Electro-Mechanical Engineering, or a related field.
- Experience in Facility Management, maintenance coordination, or building operations.
- Basic understanding of accounting, invoices, quotations, and expense tracking.
- Good organizational and follow-up skills.
- Strong attention to detail.
- Good communication and coordination skills.
- Proficiency in Microsoft Office / Google Workspace.
- Experience in retail, commercial, or warehouse environments is preferred.
