Facilities & Compliance Coordinator

We're looking for a highly organised and practical Facilities & Compliance Coordinator to become the central hub for facilities-related activity across our organisation. This is a varied role where no two days are the same. One moment you'll be coordinating maintenance works, the next you'll be managing contractors, supporting health and safety activities, tracking assets, overseeing facilities projects, or helping resolve an urgent operational issue.

About the Role

Reporting to the Head of Finance, People & Technology, you'll be responsible for the day-to-day coordination of facilities, maintenance, compliance, contractors, assets, and operational support activities across the UCSA. The role supports all areas of the organisation and works closely with internal and external stakeholders, internal facilities management function, contractors, suppliers, and service providers.

You'll be the go-to person for facilities-related requests, ensuring issues are assessed, prioritised, assigned to the right people, and followed through to completion. The role also maintains oversight of contractor activity, assists in asset tracking systems, compliance requirements, planned maintenance programmes and health and safety support functions.

What You'll Be Doing

  • Acting as the primary point of contact for facilities-related requests from across the UCSA.

  • Coordinating repairs, maintenance, and facilities issues across multiple sites.

  • Working closely with Internal Facilities Management to progress maintenance and property-related matters.

  • Managing contractor relationships, inductions, scheduling, performance, and compliance requirements.

  • Coordinating and overseeing the day-to-day workflow of the Handyman function.

  • Maintaining asset registers, fleet systems, and tracking organisational assets.

  • Supporting planned maintenance programmes and compliance activities.

  • Coordinating day-to-day health and safety administration and facilities-related risk management.

  • Overseeing electrical tag and test programmes and associated records.

  • Supporting operational improvement initiatives, minor works projects, and facilities-related side projects.

  • Building strong relationships across all UCSA departments to ensure issues are resolved quickly and effectively.

What We're Looking For

You'll be someone who enjoys being organised, proactive, and solutions-focused.

Ideally you'll bring:

  • Experience in facilities coordination, property management, building operations, maintenance coordination, or a similar operational role.

  • Experience managing contractors and external service providers.

  • Strong organisational skills and an ability to juggle multiple priorities.

  • Experience maintaining records, asset registers, schedules, databases, or compliance systems.

  • An understanding of health and safety processes within an operational environment.

  • Excellent relationship management and communication skills.

  • Confidence working with a broad range of stakeholders.

  • A practical, hands-on approach to problem-solving.

  • Strong attention to detail and follow-through.
