The HR Coordinator - Infrastructure Solutions serves as the Single Point of Contact (SPOC) for all Infrastructure Solutions (IS) international staffing assignment processes. This role serves as the primary coordination point for the end-to-end assignment lifecycle, coordinating with internal stakeholders and external vendors to ensure compliant, timely delivery of all assignment-related documentation and services. The HR Coordinator initiates and manages processes through the KPMG Link Dashboard, partners with the KPMG SPOC, and ensures all Service Level Agreements (SLAs) are met.

KEY RESPONSIBILITIES

Process Ownership & Coordination

• Serve as the primary coordination point for the IS assignment process as the HR Single Point of Contact (SPOC)
• Initiate assignment processes with the KPMG SPOC via the KPMG Link Dashboard
• Coordinate with Vertiv cohorts including IS team members, employees, Home Country HR, Host Country HR, EMEA Tax, and EMEA Legal stakeholders
• Monitor and communicate cohort status to all internal stakeholders
• Attend weekly coordination calls with KPMG and internal teams
• Escalate challenges at appropriate times to ensure timely resolution

Vendor & Partner Management

• Partner with KPMG SPOC to coordinate delivery of all assignment deliverables
• Monitor vendor SLAs for A1C certificates, Posted Worker Declarations (PWD), work permits, and tax compliance deliverables
• Track and manage deliverables through the KPMG Link Dashboard
• Coordinate with KPMG A1C Team on home country A1C application submissions
• Coordinate with KPMG Immigration Team on host country work permit applications
• Coordinate with KPMG Tax Team on tax office bookings, HSM/HSE card requests, and tax compliance matters

Stakeholder Liaison

• Liaise with IS Department Heads and IS Project Managers on staffing needs and assignment intake
• Coordinate with Home Country HR on assignment contract drafting (including signature requirements)
• Coordinate with Host Country HR on employee support during assignments
• Support EMEA Tax on entity setup and designated officers
• Coordinate with EMEA Legal on initial entity setup and legal requirements
• Collect and manage employee personal data required for assignment processing

Compliance & Record-Keeping

• Ensure all assignment documentation is maintained in compliance with GDPR and local data protection regulations
• Monitor assignment timelines and flag upcoming expirations or renewals
• Maintain accurate records across all deliverable categories: A1C, PWD, Work Permits, Individual Income Tax Returns, Shadow Payroll Calculations, and other tax compliance matters

Relocation & Immigration Support

• Manage relocation and immigration aspects in partnership with global mobility colleagues
• Support employees through the assignment lifecycle from initiation to completion

Requirements

• Bachelor's degree in Human Resources, Business Administration, or related field preferred
• 2-3 years of HR coordination or specialist experience managing global programs
• Experience with international assignment processes, immigration, or global mobility preferred
• Strong attention to detail and ability to manage multiple concurrent assignments
• Excellent communication skills with ability to liaise across multiple countries and cultures
• Proactive problem-solving approach with ability to escalate appropriately
• Ability to handle confidential information with professionalism and discretion
• Proficiency in Microsoft Office; experience with vendor management dashboards a plus
