Job Overview

The Head of Administration leads workplace operationsin our Prague studio, ensuring a safe, efficientand engaging environment for employees. Therole willoversee facilities, suppliers, budgetsand workplace projects, while leading and developing the administration team and driving continuous improvementsto ensure our people and workplace environment support the company's goals.

What will you do?

• Leads workplace operations and sets objectives for service quality, compliance, and cost control.
• Defines service expectations for Workplace Experience Specialists and allocates resources to align with Employee Experience priorities.
• Oversees facilities operations including building maintenance, repairs, and preventive maintenance to ensure safe and reliable workplaces.
• Manages workplace projects, events and modifications (design/planning, scheduling, and execution), including cost estimates for labor, materials, and equipment.
• Approves changes to processes and vendor arrangements that affect cost, service quality, and the ability to support Employee Experience programs
• Monitors spend, service quality, and vendor performance against agreed standards and supports resolution of complex or escalated cases.
• Develops and implements workplace policies and procedures, including space allocation/layout, facility expansion planning, and service standards.
• Leads vendor performance management (e.g., service reviews, corrective actions, escalation handling) and ensures consistent delivery.
• Participates actively in hiring, performance, and development decisions for the workplace team.

What are we looking for?

• Demonstrable experience of owning the operational performance of a workplace/site, with the autonomy and judgement to make decisions on facilities, suppliers, budgets, employee experience and day-to-day operations.
• Proven people leadership experience, including managing, developing and motivating a small team, setting clear objectives and managing performance.
• Demonstrable experience delivering workplace projects and improvements.
• Excellent organisational, communication and problem-solving skills, with sound judgement and the ability to balance employee needs, operational requirements, compliance, service quality and cost control.
• Demonstratable experience managing multiple stakeholders
• Service-orientated mindset

Work mode

• Onsite (4 days of work from the office) 
• This role is/isn't eligible for relocation & immigration support.
