Office Facilities Coordinator

Job Overview

The Office Facilities Coordinator supports the smooth day-to-day running of our Prague studio, ensuring they are safe, welcomingand well maintained. You’llcoordinate visitors, suppliers, office resources, meetingsand events, while providing practical support to keep the workplace running efficiently and delivering a greatexperience for employees and guests.

What will you do?

• Oversees daily workplace operations and basic facility maintenance to keep offices safe, clean, and functional.
• Coordinate the end-to-end visitor experience, including visitor registration and access, NDAs, meeting room bookings, studio orientation and on-site support, ensuring all internal and external visitors receive a professional and welcoming experience.
• Manages office supplies, delivery services and shared resources across all offices, including ordering and stock control.
• Coordinates vendors and contractors for cleaning, repairs, and service requests, and checks work completion.
• Supports workplace upkeep with hands-on tasks such as furniture moves, minor repairs, spot painting/cleaning, and exterior cleanup.
• Provides operational support for internal and external meetings and events, including room readiness, and break area stocking.
• Supports reception and general office activities, including scheduling, documentation updates (e.g., space usage), and internal deliveries.

What are we looking for?

• Some experience in office administration, workplace, facilities, hospitality or customer service environment, with a genuine interest in creating a welcoming and well-run workplace.
• Highly organised and reliable, with the ability to manage multiple tasks, prioritise effectively and ensure day-to-day office requirements are completed.
• Strong communication and interpersonal skills, with a friendly, approachable and professional manner.
• Proactive and practical problem-solver, able to identify issues, take ownership and find solutions, while knowing when to escalate matters to the wider workplace team.
• Confident working as part of a team, with a positive, flexible attitude and willingness to learn and take on new responsibilities.

• Fluent Czech and English, written and spoken
