Marketing Operations Coordinator

Your role:

Zanders is a global consulting firm in treasury and risk management, working with corporates, financial institutions and public-sector organisations across Europe, the Americas and Asia. Our marketing team runs events, digital campaigns and content that put that expertise in front of the people who need it. As the volume of that work has grown, the pillar leads need someone who owns the execution so they can stay on strategy, planning and creative direction. That is why this role exists.

You join a marketing team organised around three pillars - Events, Digital and Content - and you support all three. This is a horizontal role rather than a pillar-owned one: you plug into whichever pillar carries the highest operational load in a given week. Day to day you work in HubSpot, coordinate campaign and event logistics, produce first drafts of social and email content to brief, and keep the playbooks and reporting standards in order. You report to the Senior Manager Marketing Operations and work across our offices in Zagreb, Utrecht and beyond.

AI tools are the default way of working here, not an experiment. You are expected to use AI copywriting, design and reporting assistants to turn briefs into drafts faster, and to keep finding new ways to take repeatable work off the team's plate.

This is an entry-level role. Your background may be in marketing, communications, events or business administration - through study, an internship or a first job.

Key Responsibilities:

• Build and update contact lists, segments and attendee imports in HubSpot, and keep event, campaign and lead records clean and consistent.

• Support campaign setup - forms, workflows and basic automations - under pillar-lead direction, and maintain tracking so attribution stays reliable.

• Coordinate campaign and event timelines, deliverables and follow-ups across internal and external stakeholders, flagging deadline risks early.

• Manage registration logistics, attendee communications and reminder and follow-up sends.

• Compile post-campaign and post-event reporting data for the pillar leads to analyse.

• Coordinate webinar logistics end to end, including practice sessions and Teams Webinars training with internal and external speakers.

• Create social media and email content to pillar-lead brief, and coordinate with speakers on their LinkedIn posts.

• Route content and copy through review cycles with internal stakeholders, designers and external copywriters, then format and publish to the website, HubSpot or LinkedIn.

• Build visual assets in Photoshop and Canva - LinkedIn banners, event attendee graphics and similar.

• Use AI copywriting, design and reporting tools to produce first drafts and speed up brief-to-draft turnaround, and share what works with the wider team.

• Maintain playbooks, templates and reporting standards so the team's ways of working stay documented and reusable.

• Own recurring coordination touchpoints such as status meetings and stakeholder check-ins, and flag friction in recurring processes with suggestions for improvement.

• Work across offices and pillars, contributing to an inclusive, well-connected global marketing team.

Skills to be successful:

Essential:

• Well organised and detail-oriented, able to keep several campaigns, events and deadlines moving at once.

• Comfortable working in a CRM or marketing automation platform - HubSpot experience is a clear advantage.

• Clear written English, with an eye for accuracy in copy and data alike.

• Confident coordinating with multiple stakeholders, including people more senior than you, and chasing what you need.

• Using AI tools in daily work already, or visibly keen to, and curious about where they can save time.

• Execution-focused: you take satisfaction in things landing on time and to standard.

Also valuable:

• Experience with WordPress, Canva or Photoshop.

• Exposure to event or webinar logistics, including speaker coordination.

• Familiarity with campaign reporting and basic attribution concepts.

• An additional European language.

• Interest in financial services, treasury or professional services as a subject area.
