About the Role
We are looking for a highly capable, proactive, and detail-oriented Executive Assistant to support our CEO in a fast-paced startup environment.
This role combines hands-on executive assistance with administrative support for the sales team. You'll help keep the CEO's day organized and running smoothly, coordinate meetings and travel, prepare presentations and meeting materials, and support the administrative processes that keep our sales activities on track.
We're looking for someone who learns quickly, works efficiently, and can manage a wide range of responsibilities with discretion, flexibility, and minimal guidance.
What You'll Do
Executive Assistance
- Manage the CEO's calendar, schedule meetings, coordinate travel, and handle day-to-day logistics.
- Prepare presentations, agendas, and materials for board meetings, investor meetings, and other key discussions.
- Coordinate meeting logistics and follow up on action items to ensure nothing falls through the cracks.
- Support the CEO with ongoing administrative tasks and special requests.
Sales Administration
- Provide administrative support to the sales team, including scheduling customer meetings and coordinating follow-ups.
- Maintain and organize sales documents, presentations, and customer-related materials.
- Assist with meeting preparation, internal coordination, and keeping sales-related information and records up to date.
Requirements
What We're Looking For
- Native-level English proficiency, with excellent written and verbal communication skills.
- Previous experience as an Executive Assistant, Personal Assistant, or in a similar administrative support role.
- Excellent organizational skills and strong attention to detail.
- A proactive, hands-on approach and the ability to manage multiple priorities independently.
- Quick to learn, resourceful, and comfortable handling changing priorities in a dynamic environment.
- Strong interpersonal skills, discretion, and professionalism.
- Proficiency in Google Workspace.
- AI-savvy and tech-forward: Comfortable using AI tools to improve productivity, streamline workflows, support research, prepare presentations and meeting materials, and optimize day-to-day executive support. Proactive in identifying opportunities to leverage AI to work smarter and more efficiently.
