The Role
As a B2B Operations Specialist, you will manage the core operational foundation of our client's B2B business, ensuring seamless, day-to-day execution that gets our products into partners' hands and onto their shelves efficiently and on time.
Equally important, you will help build scalable, repeatable processes that allow our B2B operations to grow seamlessly.
Responsibilities
- Order Processing & Fulfillment (30%)
- Process B2B orders end-to-end.
- Coordinate fulfillment with warehouses and 3PL partners.
- Prepare shipping documents and handle logistics queries.
- Partner Management & Support (30%)
- Own and triage the B2B inbox against response SLAs.
- Handle partner document requests and maintain product sheets/Drive folders.
- Support AI-assisted partner product communications.
- Handle operational partner and market onboarding.
- Product Launches, Listings & Quality (30%)
- Set up market and partner listings and master-data.
- Execute the operational side of product launches and template creation.
- Log samples, returns, and complaints and route them to Ops/QA.
- Process Improvement & Automation (10%)
- Build scalable workflows, repeatable systems, and AI-assisted inbox automation to reduce manual volume over time.
What Success Looks Like
- First 90 Days:
- The B2B inbox is fully under control, maintaining a median response time of under one business day.
- Product launch fan-outs run efficiently on standardized templates.
- Core operational workflows are thoroughly documented and optimized.
- Beyond:
- Senior team members' time is successfully reclaimed from day-to-day execution and redirected toward strategic growth.
- Product launches and new market expansions consistently go live on schedule.
- Manual inbox volume trends downward as scalable automation and AI workflows take hold.
Requirements
- Must-have:
- 2-3 yrs of experience in B2B or e-commerce operations, order management, or a similar execution-heavy ops role.
- Highly organised and detail-oriented; comfortable owning a high-volume, multi-thread workload.
- A systems-builder mindset: you fix the process, not just the ticket.
- Comfortable using AI tools as part of daily execution.
- Able to work independently and with a Europe-based team, requiring daily working hours overlap with the European time zone (CET), reporting into Berlin.
- Fluent English with strong written communication.
- Nice-to-have:
- Exposure to supplements, pharma, or other regulated product channels.
- Familiarity with HubSpot, Shopify, and spreadsheet-heavy master-data work.
- Exposure to shipping and export documentation, including the basics of incoterms and origin.
- German a plus (not required - partner comms are AI-assisted).
