Sr. Staff Accountant | WFH

We are hiring one experienced accountant to own our close and our fixed asset process, with a working knowledge of accounts payable to back up the team. If you like running a close you can be proud of, tightening the processes around it, and seeing the result land on time every month, this is the role.

What you'll own

Month-end close (three entities) - you own it end to end

Deliver the close on the Accounting Manager's calendar: hit every deadline in our Asana MEC project, coordinate the AP Specialist's, AR Specialist's, and Bookkeeper's pieces and cutoffs, and keep the close workbook, support folders, and status current so the Accounting Manager's review is a review, not a rebuild.

Bank, credit card, and treasury reconciliations in QuickBooks, with every uncleared or misdated item fixed.

Balance-sheet schedules, prepared by you or reviewed by you when prepared by the team: prepaids, accruals, vendor and customer deposits, security deposits, financed insurance, notes payable, interest receivable, and federal and state income tax accruals, each tied to the ledger with zero variance and support filed.

Payroll journal entries and accruals by entity and department from our PEO export, plus the payroll account reconciliation.

The monthly UPS shipping accrual, intercompany allocations and eliminations across our entities, the inventory allocation entry (provided by the Accounting Manager), sales allocations, and rent and utility reviews.

A self-reviewed, complete close handed to the Accounting Manager by the 7th business day, with month-over-month P&L and balance-sheet variances already investigated.

Weekly soft close

Complete the Friday soft close every week so the books are close-ready all month: bank feeds cleared, Ramp drafts cleared, transaction coding reviewed, prepaids, accruals, fixed assets, CIP, and deposits logged on the Close Prep Tracker, AP balances and QuickBooks-to-Ramp tied, intercompany due to/from balanced, and Ramp card transactions and reimbursements cleared.

Bring your open items and questions to the Monday soft close meeting and follow up on what gets decided.

Fixed assets and capital purchases

Run our capital purchase intake process: spot capital invoices on arrival, get the intake form back from the requester before payment, code to deposits or construction in progress, and track every purchase and invoice on the Capital Purchase Tracker.

Keep the tracker current every Friday, bring open questions to the Monday soft close meeting, and lead the monthly walk-through with the teams that buy equipment.

Prepare the monthly in-service approval list with support and proposed asset tags; after approval, close out the purchase in the tracker and the QuickBooks Fixed Asset module.

Reconcile fixed assets, accumulated depreciation, CIP, and vendor deposits every month to the Fixed Asset Register and the tracker, and maintain the fixed asset tabs of the close workbook.

Accounts payable (limited, with backup coverage)

Learn our full AP process in Ramp (invoice entry, coding, three-way match, draft status, approvals, card transactions, and vendor statement reconciliations) so you can review AP work at close and step in when needed.

Provide backup AP coverage for the AP Specialist during absences and peak periods, and help with vendor statement reconciliations and AP tie-outs at month-end.

Keep an eye on late-arriving invoices during close so they land in the right month.

Qualifications

• 4+ years of accounting experience, including 2+ years preparing a monthly close with balance-sheet reconciliations.

• Multi-entity experience, including intercompany entries and reconciliations.

• Working knowledge of US GAAP for prepaids, accruals, fixed assets and depreciation, CIP and deposits, and payroll.

• Hands-on QuickBooks Online experience; Intuit Enterprise Suite or the QuickBooks Fixed Asset module is a plus.

• Strong Excel skills: roll-forwards, lookups, schedules that tie to the ledger, clean support.

• Accounts payable experience with three-way matching, GL coding, and vendor reconciliations; Ramp or a similar AP platform preferred.

• A track record of hitting fixed close deadlines and driving variances to zero without being chased.

• Clear, prompt written communication with vendors and internal teams.

Nice to have: A degree in Accounting or Finance, CPA or CPA candidate, experience building or improving close processes, a pharmacy, healthcare, or inventory-based background, and familiarity with Insperity or Rippling payroll exports and Asana.

Intuit Enterprise Suite / QuickBooks Online, Ramp, Excel and Google Sheets, Google Workspace, Asana, Insperity (moving to Rippling in January 2027).
