Job Summary

The E-commerce Operations Executive is responsible for managing and optimizing day-to-day e-commerce operations across direct-to-consumer and marketplace channels. The role ensures operational accuracy, inventory availability, financial compliance, partner management, and seamless execution of campaigns while coordinating closely with internal stakeholders including Supply Chain, Finance, Customer Service, Payroll, Retail, and external partners such as platform partner for marketplaces.

Key Responsibilities

1. Channel Operations & Customer Fulfilment

• Manage daily DTC and marketplace operations, including order validation, fulfilment tracking, refunds, returns and exceptional cases.
• Resolve discrepancies with Customer Service, Finance, Supply Chain and marketplace partners, while maintaining accurate process documentation and trackers.

2. Inventory & Campaign Readiness

• Allocate inventory across the DTC website, Shopee, Lazada, TikTok Shop, retail stores, external merchants and corporate accounts in line with demand and commercial priorities.
• Monitor stock health and synchronisation, coordinate transfers, mitigate overselling and fulfilment risks, and lead pre- and post-campaign inventory reconciliation.

3. Marketplace, Affiliate & Vendor Management

• Serve as the operational contact for marketplace agencies, affiliate networks and service providers, coordinating collections, service recovery and customer communications.
• Validate ShopBack and Rakuten transactions, resolve disputes, maintain accurate records and ensure timely, accurate commission payments.

4. Merchandising, Content & Promotions

• Manage Magento product content and merchandising, including listings, specifications, imagery, categorisation, pricing, markdowns, coupons, promotional mechanics, banners and featured collections.
• Perform quality checks, support product launches, align on-site merchandising with campaign and stock priorities, and recommend improvements to conversion and customer experience.

5. Procurement, Invoicing & Financial Control

• Create and manage purchase orders in Ariba/SAP, coordinating vendor payments, goods receipts, budget utilisation and funding availability.
• Generate SAP tax invoices, fulfil marketplace invoice requests and maintain complete supporting documentation.
• Reconcile marketplace, SAP and internal records, investigate variances, and provide Finance with supporting evidence and business justification.

6. Promotions & Claims Management (Vistex)

• Validate promotional claims against approved agreements, campaign mechanics and budgets; prepare justifications and secure approvals before accrual.
• Raise and monitor accruals, process settlements, reconcile estimates to final values, resolve discrepancies and maintain audit-ready records.

7. Employee Purchase Programme

• Validate employee purchases and discount compliance, calculate taxable benefits, coordinate monthly Payroll submissions and resolve employee enquiries.

8. Stakeholder Coordination & Continuous Improvement

• Coordinate cross-functional teams, marketplace agencies and affiliate partners to deliver campaigns and operational priorities.
• Escalate issues promptly, support business continuity, improve processes and strengthen cross-functional alignment.
