Tender & Proposal Coordinator

Purpose of the role: You will manage the end-to-end preparation, submission and monitoring of public and private tenders and proposals, ensuring regulatory compliance, complete and accurate bid documentation, and strict adherence to deadlines.

• Review and extract requirements from tender notices and contracts; prepare and send related documents.

• Collect, verify and file supporting documents, including statutory declarations and supplementary letters.

• Submit bids through electronic platforms (e.g., ESIDIS/ΕΣΗΔΗΣ, Cosmo One, e-supplies) and monitor the tender process (bid opening, pre-contract checks, award, assignment, contract).

• Prepare and submit technical and financial proposals in collaboration with pre-sales and sales teams.

• Manage guarantee letters (issuance, receipt, return), maintaining direct communication with the partner bank and legal advisors.

• Enter purchase orders into Softone, monitor procurements and coordinate dispatch of physical bid folders.

• Cooperate with the accounting department on payment documentation and issuance of related documents.

Requirements

• Experience in tender/proposal management or a related administrative role (preferably 3+ years).

• Experience with electronic submission platforms (e.g., ESIDIS/ΕΣΗΔΗΣ) and ERP systems (Softone or equivalent).

• Strong organizational skills, attention to detail and ability to meet deadlines.

• Advanced knowledge of Excel and Outlook.

• Good command of English.

• Strong communication skills and ability to coordinate across departments.

Would be a plus:

• Previous experience liaising with banks on guarantee letters.

• Experience in a technology company.

• Knowledge of digital signatures and government e-procedures.
