This role offers the opportunity to take ownership of end-to-end procurement for computer hardware, technical parts, and operational supplies in a fast-growing environment. You will manage sourcing activities with a strong focus on China-based vendors and support reliable supply to US operations. The position combines strategic sourcing, hands-on vendor negotiation, inventory forecasting, logistics, and compliance management. You will play a key role in maintaining competitive pricing while avoiding stockouts and unnecessary inventory. Working closely with US-based colleagues, you will coordinate across sourcing, sales, accounting, customs, and logistics functions. This is a detail-driven role suited to someone who enjoys ownership, international supplier relationships, and solving complex procurement challenges.
Accountabilities
Source computer parts, hardware components, warehouse supplies, and workshop materials while identifying reliable and cost-effective suppliers, particularly in China.
Maintain an accurate master vendor database covering supplier qualifications, legal and compliance information, export documentation, and relationship status.
Build and manage vendor relationships, acting as the primary contact for follow-ups, negotiations, issue resolution, and ongoing supplier performance.
Create and manage RFQs, compare quotations, negotiate pricing, lead times, quality, and commercial terms, and continuously benchmark suppliers against market conditions.
Manage the complete procurement lifecycle through the relevant purchasing systems, from sourcing and quoting through purchasing, customs clearance, shipping, receipt, reconciliation, and payment.
Coordinate with accounting on invoices, payment schedules, reconciliations, and agreed vendor terms, while partnering with sales to align purchasing with customer part requirements and resale needs.
Monitor inventory levels across workshop and office locations and forecast future requirements using usage trends, demand patterns, and historical consumption.
Establish and maintain appropriate reorder points to reduce stockouts and overstocking, including for warranty and non-warranty parts.
Track inventory, purchasing, and pricing information regularly, ensuring records remain accurate, current, and audit-ready.
Monitor hardware market trends and pricing changes to optimize sourcing strategies and maintain competitive resale pricing and appropriate markups.
Ensure vendors and shipments comply with applicable import/export requirements, tariffs, shipping regulations, certificates, and documentation requirements for US-bound goods.
Coordinate with customs brokers and logistics partners to resolve clearance issues, prevent avoidable delays, and maintain complete shipment compliance records.
Collaborate with US-based teams across different time zones to align procurement timelines with operational requirements, customer demand, and business priorities.
2+ years of experience in procurement, strategic sourcing, supply chain management, or a related field, with IT hardware or technical parts sourcing strongly preferred.
Demonstrated experience sourcing from and negotiating with China-based suppliers.
Working knowledge of customs procedures, import/export compliance, tariffs, and shipping regulations for goods shipped to the US.
Experience using procurement software, inventory management tools, ERP platforms, or similar systems; strong Excel/spreadsheet skills are required.
Proven negotiation skills and the ability to secure competitive pricing while balancing cost, quality, lead time, and supplier reliability.
Strong analytical and inventory forecasting abilities, including experience establishing reorder points and managing supply requirements across multiple locations.
Excellent vendor relationship management skills, with strong follow-through and the ability to manage multiple suppliers and concurrent orders.
Experience with computer parts, IT hardware, technical equipment resale, or distribution is preferred.
Familiarity with warranty and non-warranty parts management is an advantage.
Mandarin language proficiency is helpful but not required.
Strong attention to detail, particularly when managing procurement records, compliance documentation, invoices, and shipment information.
Clear written and verbal communication skills, with the ability to collaborate effectively with sourcing, sales, accounting, logistics, and US-based stakeholders.
Comfortable working US-aligned hours and collaborating across international time zones.
Ability to work independently, prioritize competing requirements, and take ownership of procurement activities from initiation through completion.
