JLL - Workplace Experience Manager (P3)

Transform at JLL as a Workplace Experience Manager on a prominent Fortune 500 technology client account! You will lead the white glove soft services delivery at our clients bay area corporate campus.

Location: Redwood City, CA 94065

Work Schedule: Onsite, M-F 8:00 AM - 5:00 PM + varies for corporate meetings/events

Reports to: Senior Facilities Manager

Estimated base salary range: $95,600 - $117,100

What this job involves:

The Workplace Experience Manager oversees the day-to-day workplace environment for the client account, creating a productive, safe, and engaging experience for employees and visitors. The role partners with HR, Facilities, IT, Amenities, Client RE&F and service providers to manage workplace facilities, services, resources, and communications effectively.

What your day-to-day will look like:

  • Workplace condition oversight: Monitor the condition, maintenance, repair, and cleanliness of office spaces, common areas, amenities, and outdoor spaces.
  • Facilities coordination: Coordinate with facilities teams and service providers to resolve workplace issues and maintain efficient operations.
  • Health and environmental standards: Support workplace compliance with applicable health, safety, and environmental standards.
  • Space utilization: Monitor workplace utilization and identify opportunities to optimize the use of offices, shared spaces, and amenities.
  • Workplace layouts: Coordinate office layouts and space plans that support business needs and employee experience.
  • Desk and seating assignments: Manage desk assignments and related moves, adds, and changes in coordination with stakeholders.
  • Conference room availability: Oversee conference room booking practices and address recurring availability or usability issues.
  • Growth and relocations: Partner with stakeholders to plan for growth, relocations, and departmental changes that affect workplace space.
  • Reception and front-of-house services: Plan and manage reception and visitor-facing workplace services as applicable to the account.
  • Employee amenities: Plan and manage workplace amenities, which may include food service, fitness, and other employee-support offerings.
  • Vendor relationships: Manage relationships with workplace service vendors, property management, cleaning, security, and other providers.
  • Vendor contracts and service levels: Support vendor contracting and monitor service quality, performance expectations, and corrective actions.
  • Workplace technology coordination: Partner with IT to implement and maintain workplace technology, including access control, room booking, digital signage, and audiovisual tools.
  • Technology user support: Help employees use workplace technology and coordinate troubleshooting or escalation when issues arise.
  • Client Store management: Provide management and oversight the client’s brand store operations including, but not limited to, inventory management, trade show sales, and other store-related responsibilities and activities.
  • Workplace budget: Manage workplace operating budgets, monitor expenses, review invoices, and identify cost-saving opportunities.
  • Work order ticket management: Oversee the workplace work-order ticket process and track ticket acknowledgement and response-time expectations.
  • Vendor performance audits: Conduct regular vendor performance reviews, identify service gaps, and implement corrective actions when needed.
  • Employee engagement programs: Support workplace events, activities, and programs that promote well-being, collaboration, inclusion, and morale.
  • Workplace communications: Develop workplace communications, such as announcements, newsletters, and digital-signage updates, to keep employees informed.
  • Policies and regulatory compliance: Stay current on workplace policies, regulations, and best practices, and support compliance with applicable requirements.

Required Qualifications:

  • High school diploma or GED equivalent
  • Three or more years of workplace management, facilities management, or related experience in a commercial real estate or corporate environment.
  • Knowledge of workplace trends, best practices, and industry standards that support productive and engaging work environments.
  • Strong interpersonal and communication skills, with the ability to collaborate effectively with stakeholders at all levels.

Preferred qualifications:

  • Bachelor's degree in hospitality management, business administration, or related field
  • Knowledge of health, safety, and environmental regulations applicable to the workplace.
  • Experience with budgeting, cost management, retail management, and vendor contract negotiations.
  • Proficiency with workplace-management software, CMMS, collaboration tools, and Microsoft Office.
  • Strong organization, project-management, problem-solving, and prioritization skills.
  • Flexibility and adaptability to changing workplace needs and strategies.
  • Customer-service orientation and a commitment to exceptional workplace experiences.
  • Relevant certification, such as Certified Facility Manager (CFM).

Estimated compensation for this position:

95,600.00 - 117,100.00 USD per year

This range is an estimate and actual compensation may differ. Final compensation packages are determined by various considerations including but not limited to candidate qualifications, location, market conditions, and internal considerations.
