The Role

As an eBilling Coordinator, you will play a key role in supporting the firm’s billing operations by managing client onboarding to eBilling platforms, maintaining accurate records, and ensuring a seamless transition from client setup through to ongoing billing activities. Working closely with colleagues across Finance and the wider business, you will help drive billing efficiency, ensure compliance with client and industry requirements, and contribute to the delivery of a high-quality service. Your Key Responsibilities:

  • Manage the end-to-end onboarding of clients onto eBilling platforms, ensuring all requirements are accurately captured, configured, tested and validated prior to go-live.

  • Act as the primary point of contact for clients throughout the onboarding process, building strong relationships, managing expectations and resolving queries in a timely manner.

  • Set up, maintain and update client billing profiles, system configurations and supporting documentation across relevant eBilling platforms.

  • Monitor invoice submissions to ensure compliance with client requirements, internal processes and agreed billing deadlines, resolving issues and exceptions as they arise.

  • Identify, investigate and rectify billing and invoicing errors, working collaboratively with stakeholders to minimise delays and ensure accurate submissions.

  • Maintain comprehensive and accurate records of onboarding activities, billing transactions and system changes to support audit, compliance and reporting requirements.

  • Collaborate with Finance teams, Partners, Business Services colleagues and external clients to address billing-related queries, improve data accuracy and ensure a seamless billing experience.

  • Produce reporting and management information on eBilling performance, while driving continuous process improvements to enhance operational efficiency, reduce onboarding times and support best practice billing processes.

What we’re looking for:

  • Proven experience managing client onboarding activities across eBilling platforms, ideally within a legal, professional services or complex corporate environment.

  • Strong working knowledge of eBilling systems, client billing portals and the technical requirements necessary to support successful client implementation and invoice submission.

  • Demonstrated ability to work collaboratively with cross-functional teams to ensure billing deadlines are met and invoicing processes operate efficiently.

  • Experience producing reports, analysing data and using management information to monitor billing performance, identify trends and support decision-making.

  • Excellent communication and stakeholder management skills, with the confidence to build effective relationships with clients and colleagues at all levels of the organisation.

  • A proactive, detail-oriented and solutions-focused approach, underpinned by professionalism, integrity and a commitment to delivering high-quality outcomes.
