Job Summary:

This recruitment will be used to fill one full-time Office Specialist 2 position for the Office of Admissions at Oregon State University (OSU).

The Office of Admissions includes the recruitment of prospective students, responding to requests for admission, general information and processing applications from all persons seeking entry to Oregon State University.

The purpose of this position is computer loading & maintaining document files for material received in the admission office pertaining to prospective students. Process, evaluate credentials, & maintain files of applicants for admission arriving to admit or deny status, applying state system, university & office regulations & requirements. Information is used for advising by campus faculty, high school, college counselors & students both prospective & current.

These tasks are carried out within designated time frames. Occasional contact with frustrated or agitated people. Very high volume of computer data entry and desk work. All work is carried out under pressure of deadlines, fluctuating workload and changes in regulations, policies and procedures.

Key Responsibilities:

  • Determine which documents are necessary for applicant files to be completed for evaluation. Evaluate credentials for admission eligibility for all undergraduate domestic students. Determine if student level is correct and change in CRM and Banner SIS when appropriate.
  • Process suspended or errored WEB applications in Banner SIS.
  • Make appropriate admit decisions based on requirements, and in cases where qualifications are marginal, refer file to secondary review process (Holistic Review).
  • Process all campus, term and major changes for prospective students in CRM. Create new applications in CRM for campus and term changes.
  • Compare credentials of applicants against stated requirements for eligibility. Fill out an informational reader form for each applicant to document their review process and eligibility for admission.

Qualifications:

Required Qualifications:

  • Two years of general clerical experience. One year of which included typing, word processing, or other experience generating documents; OR An Associate’s degree in Office Occupations or Office Technology; OR Graduation from a private school of business with a Certificate in Office Occupations or Office Technology and one year of general clerical experience. College courses in Office Occupations or Office Technology will substitute for the required experience on a year-for-year basis.

  • Must be competent in Microsoft Windows, Email, Word Processing, and spreadsheets.

  • Demonstrated professional communication skills and ability to communicate with diverse audiences.

  • Experience with using computers and computer software to ensure accurate and efficient data entry.

  • Independently research, assess, and retrieve information from the Internet.

  • Provide and receive information in person, by phone, or electronically.

  • Explain information regarding specific programs or services. Provide in depth technical information regarding policies, procedures, and programs.

  • Sit at a keyboard/computer/workstation for the majority of a workday. Be proficient in typing using standard qwerty keyboard.

This position is designated as a critical or security-sensitive position; therefore, the incumbent must successfully complete a criminal history check and be determined to be position qualified as per University Standard: 05-010 et seq. Incumbents are required to self-report convictions and those in youth programs may have additional criminal history checks every 24 months.

Preferred Qualifications:

  • Competency in using Slate CRM, Banner SIS, credit articulation software and document management systems (i.e. On Base).

  • Experience in higher education.

Working Conditions/Schedule:

Typical Office Hours M - F, 8am - 5pm. Remote or hybrid work is possible.

Salary Range:

$19.3-$28.75
