Role Overview
This is an established and important role within Planet, responsible for leading our global real estate and facilities agenda. The role manages our property portfolio, supports the development of Planet Hubs, optimises smaller or less-used locations, and rationalises offices where we have multiple sites in one city. It also oversees the development of a consistent global facilities model, ensuring we have the right people, partners and processes in place to support our offices and provide safe, effective and well-managed workplaces for our teams.
What you will do
Property portfolio responsibilities:
- Manage the global property portfolio, including acquisitions, renewals, disposals, subleases, dilapidations and lease obligations, in line with the property roadmap and with support from external real estate partners
- Work with the business to identify ongoing requirements, ensuring business cases for acquisitions and renewals are reviewed and approved
- Lead workplace projects including fit-outs, relocations, reinstatements and space optimisation, delivered to budget and business requirements.
- Work closely with Legal, Tax, Finance, People, IT and local leadership teams to ensure property decisions are commercially sound, operationally deliverable and appropriately risk assessed
- Ensure processes are followed and improved where possible.
- Track lease terms, notice dates, expiry dates, sublet rights, costs and savings opportunities so that the portfolio can be actively managed
- Support the annual budgeting and planning cycle with oversight on annual cost management
Facilities responsibilities:
- Build and continuously improve an effective global Facilities Management model, with clear roles, partner support, escalation routes and consistent standards across Planet Hubs and offices
- Manage the team of Office Managers in ‘Planet Hubs’ to ensure seamless running and maintenance of the hubs
- Build a network of designated office points of contact across smaller Planet Offices, ensuring responsibilities are clear and proportionate to the time required
- Identify Partner organisations to support delivery of our facilities requirements e.g. repairs & maintenance
- Own supplier lifecycle (selection, negotiation, performance management, escalation and exit) in conjunction with Procurement and Legal.
- Ensure our offices are well maintained and repairs made quickly and cost effectively
- Ensure statutory and regulatory compliance across all jurisdictions, including health & safety, fire safety and building inspection, closing remediation items
- Supervise the management of the global company car fleet, ensuring adherence to company policy.
Who you are
- An experienced Real Estate and Facilities professional with strong commercial, operational and stakeholder management capability
- Proven experience managing a multi-location property portfolio, including lease reviews, renewals, exits, subleases, relocations and office consolidation
- Able to work confidently with landlords, brokers, legal advisers, design partners, build contractors and facilities providers
- Strong financial discipline, with experience managing budgets, modelling options, tracking costs and identifying savings opportunities
- Practical experience delivering office moves, fit-outs, new builds and transitions with minimal disruption to the business
- Comfortable working across countries, entities and functions, balancing local requirements with group-wide standards
- A structured and organised operator who can manage multiple projects, deadlines, stakeholders and dependencies at the same time
- A pragmatic communicator who listens to local teams, influences senior leaders and lands clear decisions
- Hands-on, resilient and solutions-focused, with the energy to improve the function while keeping day-to-day facilities running well.
