THE OPPORTUNITY
A proactive, creative and highly organised Marketing & Operations Assistant. Not a traditional task-only VA: someone who sees the bigger picture, owns projects, anticipates what comes next and recommends improvements. Works closely with the founder on campaigns, launches, systems, workflows and the growth of programmes and community.
KEY RESPONSIBILITIES
1. Marketing and content: plan and run campaigns; repurpose the founder's content for LinkedIn, Instagram, Facebook and YouTube, adapted per platform; create graphics, slides and visual assets; manage publishing schedules; recommend ways to improve reach and lead generation; support lead magnets, quizzes and webinars; help prepare paid ads creative and reporting.
2. Project management and launches: turn the founder's plans into timelines; work back from launch dates to milestones; manage marketing calendars and task lists; coordinate live webinars, course launches and membership activity; chase decisions and approvals; flag delays early; move projects forward without constant direction. Comfortable holding the founder accountable to agreed deadlines and priorities.
3. Systems, CRM and automation: manage GoHighLevel (contacts, lead tracking, workflows, email automation); build and run quiz funnels in ScoreApp; connect tools with Zapier or native integrations; monitor funnels; apply AI tools to automate repetitive work; review software for wasted cost; support webinar platform setup and migration.
4. Data and reporting: keep sales, lead and marketing data accurate; maintain simple dashboards; automate manual data entry; track campaigns, conversion, booked calls and sales; organise sales-call insights.
5. Client and membership operations: onboarding admin, agreements and platform access; coordinate live sessions, workshops and community events; membership communications and scheduling; keep member records organised; improve engagement and retention.
6. Executive and admin support: manage action points from emails and meetings; make sure nothing is forgotten; coordinate appointments and deadlines; keep files, processes and documentation organised.

Coaching, education, online course or membership business experience; supporting a business through growth; ScoreApp, webinar platforms, Skool; Meta, LinkedIn, YouTube or Google Ads; ChatGPT or Claude in business workflows; presentation and graphic design; content repurposing and email marketing; marketing dashboards and reports.
FIRST 90 DAYS
Month 1: learn the business, audience, offers and 2027 vision; learn the systems; own sales and lead records; set up a project management system and marketing calendar; find admin to delegate or automate.
Month 2: support quiz funnels and marketing funnels; coordinate webinars and launches; start adapting and scheduling content; improve reporting and integrations.
Month 3: independently coordinate agreed marketing and launch activity; keep reporting and progress accurate; anticipate requirements; propose improvements; build repeatable processes for cohort launches and membership growth.
GROWTH
Long-term role with scope to grow towards Marketing Operations Manager or Business Operations Manager, depending on capability, performance and business growth.
