Depot Supervisor

Description

• We are seeking an experienced, detail-oriented and highly organized depot supervisor to supervise daily operations depot, ensure timely dispatch of sales orders, maintain accurate documentation and filing of depot transactions, monitor stock levels, and coordinate stocktaking exercises to ensure inventory accuracy, operational efficiency, and excellent service delivery.
• The Depot supervisor must have a strong customer-first mindset, ensuring that every customer is treated professionally, courteously, and promptly, with a commitment to exceeding customer expectations and delivering an outstanding customer experience, guided by the principle that the customer is king.

Key Responsibilities

• Responsible for supervising Depots activities
• Ensures smooth operation of Depot in terms of Process flow, Orderliness, space utilization, stock storage, receipt and insurance of stock
• Ensure proper documentation and record keeping of Depot activities (posting & processingof journal entries.
• Prepare periodic reports – daily, weekly and as requested by Chief Accountant
• Conduct comprehensive depot physical stock counts and final reconciliation quarterly / on spot
• Final approver/confirmer of all physical outward and inward bound stock
• Assist the Depot manager to ensure EFFICIENT material stock transfers across depots. Thisincludes SERVICING online orders – planning shipments per route
• Ensure the day’s transactions are CONCLUDED on the day. No carry over
• Conduct on-the-job training for depot officers and assistants on inventory procedures, ERPoperation and general documentation standards
• Monitor stock levels and initiate replenishment requests to prevent stock-outs
• Accurately verify and post all transactions on the ERP system (sales, transfer)
• Liaise with Marketing operations team to ensure timely fulfillment of customer orders
• Handle walk-in customer complaints or concerns promptly and professionally
• Set performance expectations and supervise the Depot team
• Perform any other duties as assigned by the management from time to time

Requirements

• HND / Bachelor's Degree in Accounting, Finance or related discipline
• 2 - 4 years’ experience in large depot / stock supervision

Technical Skills:

• Excel skills
• Understanding of internal control procedures
• Familiarity with inventory systems (ERP or simple inventory apps)

Soft Skills:

• High Integrity and attention to detail
• Good communication and follow-up skills
• Analytical thinking.
