Assist with administrative duties, support other Project Assistants and oversee tasks delegated by Project Coordinators/Project Managers. Description
Collecting relevant data and organizing folders, files and documents for specific departments
Scanning hard copies onto the network
Monitoring distribution lists and addressing any project discrepancies
Managing jobs and direct-intake responsibilities
Dealing with different company platforms, organizing urgent emails and escalating issues
Generating and accessing reports using different dashboards and platforms
Filling out daily trackers required by teams/departments
Assisting production teams in project billing, sending files to formatters, logging ticket entries and generating
Purchase Orders
Preparing files for quotes
Preparing certificates for teams/departments
Organizing team events and/or different team/department activities
Performing other special projects or duties when required
Complete all other tasks that are deemed appropriate for this role and assigned by the manager/supervisor
Required skills
Excellent verbal and written communication skills in English
Proficient in Microsoft Office suit
Outstanding organizational skills
Great attention to detail
Ability to effectively multitask in order to simultaneously execute multiple responsibilities
Ability to maintain professionalism in all situations, especially under tight deadlines
Ability to effectively solve problems
