Roles filled through its board include bookkeepers and assistant accountants, claims and helpdesk administrators, technical support representatives, supply chain planners, graphic designers and video editors.

We are seeking a detail-oriented People & Culture Administrator to deliver high-quality HR operational support across the employee experience while ensuring accuracy, compliance, and service excellence. This role plays a key part in maintaining effective people processes, supporting employee engagement initiatives, and enabling the smooth operation of the People & Culture function.

  • Coordinate employee lifecycle activities, including onboarding, employee changes, transfers, probation reviews and offboarding.
  • Prepare employment letters, contract variations and other HR documentation using approved templates.
  • Process employee and organisational changes accurately within the HR information system.
  • Maintain complete and current electronic employee records.
  • Coordinate documentation and approvals between employees, managers, People & Culture, payroll and finance teams.
  • Monitor the People & Culture shared inbox and respond to routine HR enquiries within agreed timeframes.
  • Provide employees and managers with guidance on HR processes, systems, forms and company policies.
  • Escalate sensitive, complex or employee-relations matters to the appropriate People & Culture representative.
  • Monitor employee records and follow up missing, expired or incomplete documentation.
  • Support the administration of licences, qualifications, security clearances and other role-specific compliance requirements.
  • Assist with maintaining HR policies, procedures, templates and controlled documents.
  • Coordinate policy acknowledgements and required employee confirmations.
  • Support internal and external audits by compiling employee records and compliance documentation.
  • Maintain accurate HR information in accordance with company policies, privacy requirements and Australian employment legislation.
  • Handle confidential employee information with appropriate discretion.
  • Coordinate employee recognition programs, including nominations, approvals, communications and rewards.
  • Support the administration of employee benefits, discounts and wellbeing initiatives.
  • Assist with employee engagement activities, events and People & Culture communications.
  • Coordinate service-recognition milestones and associated employee communications.
  • Support graduate, apprenticeship, work-experience and other early-career programs where required.
  • Liaise with suppliers and service providers supporting employee programs and HR initiatives.
  • Prepare regular and ad hoc HR reports using information from HR systems and internal records.
  • Maintain accurate data relating to employee changes, compliance activities, recognition programs and HR enquiries.
  • Identify HR data discrepancies and coordinate corrective actions with relevant stakeholders.
  • Monitor recurring HR activities and deadlines to ensure required actions are completed.
  • Process People & Culture purchase orders, invoices, accruals and internal chargebacks.
  • Support budget tracking and maintain accurate records of HR-related expenditure.
  • Identify opportunities to improve HR administration, data accuracy and employee support processes.
  • Other role specific duties as they arise.

Requirements

  • A bachelor’s degree in Human Resources, Business Administration, Psychology or a related discipline.
  • Previous experience in HR administration, HR coordination, People Services or a similar role.
  • Familiarity with Australian employment legislation, Modern Awards and general HR compliance requirements.
  • Experience within facilities management, building services, construction, engineering, property services or another operationally complex environment.
  • Experience supporting geographically dispersed, technical, trade or site-based employees.
  • Practical experience supporting employee lifecycle processes and maintaining employee records.
  • Experience preparing employment documentation and processing employee changes.
  • Strong administrative and organisational skills, with the ability to manage multiple priorities and recurring deadlines.
  • High attention to detail and a commitment to maintaining accurate HR information.
  • Strong written and verbal communication skills.
  • A professional and service-focused approach to supporting employees and managers.
  • Experience managing shared inboxes, responding to enquiries and escalating matters appropriately.
  • Ability to handle confidential and sensitive information with discretion.
  • Experience using an HR information system, employee database or similar business platform.
  • Proficiency in Microsoft Word, Excel, Outlook and other business applications.
  • Sound problem-solving skills and the ability to follow established policies and procedures. Advantageous Skills & Experience
  • Exposure to HR reporting, data analysis, compliance auditing or policy administration.
  • Experience processing purchase orders, invoices, accruals or internal chargebacks.
