Position Summary

The Assistant Manager - AP Operations supervises Accounts Payable activities supporting container terminal operations within a ports, maritime, shipping, and logistics finance environment. The role oversees terminal billing support, vendor invoice processing, payment execution, financial controls, reconciliations, and month-end close activities while ensuring SLA adherence, compliance, documentation readiness, and operational excellence.

The incumbent is responsible for understanding how operational transactions captured in Navis N4 translate into billing, revenue recognition, accounting entries, reconciliations, and financial reporting within OASYS.

Key Responsibilities

Terminal Billing & Support Validation

• • Validate billable transactions supporting invoicing accuracy.
  • Support revenue integrity through transaction validation and reconciliation.
  • Partner with Billing and AR teams on discrepancy investigations.
  • Review supporting documentation related to approved billing adjustments.
  • Ensure operational transactions are accurately reflected within accounting records.

Accounts Payable Operations

• Supervise vendor invoice processing, coding, approvals, and payment execution.
• Monitor AP aging, invoice backlogs, and SLA compliance.
• Review and approve complex AP transactions.
• Ensure timely and accurate vendor payments.
• Drive resolution of invoice and payment exceptions.

Payment Platforms & Settlement Controls

• Support payment processing controls involving PayCargo and related settlement platforms.
• Review settlement exceptions and coordinate issue resolution activities.
• Monitor compliance with payment authorization procedures.
• Ensure adherence to payment processing and settlement controls.

General Ledger & Reconciliations

• Review journal entries and supporting documentation.
• Govern balance sheet reconciliations.
• Oversee sub-ledger to GL reconciliations.
• Ensure timely resolution of reconciling items.
• Maintain audit-ready financial documentation and schedules.

Month-End Close & Reporting

• Govern month-end close activities, including accruals and allocations.
• Review account analyses and balance sheet schedules.
• Ensure close calendar adherence and reporting accuracy.
• Review recurring and ad hoc financial reports.
• Maintain documentation readiness for audits and leadership review.

Leadership & Stakeholder Management

• Manage daily work allocation, queue performance, and productivity.
• Conduct quality reviews and coaching sessions.
• Partner with Terminal Operations, Planning, Customer Service, and Port Operations stakeholders.
• Manage escalations and stakeholder communications.
• Drive cross-training, process standardization, and continuous improvement initiatives.

Controls & Compliance

• Ensure adherence to SOPs, internal controls, and information security requirements.
• Monitor compliance with financial and operational policies.
• Support internal and external audit requests.
• Identify control gaps and implement corrective actions.
• Ensure proper handling of confidential financial information.

Required Qualifications

• Bachelor's Degree in Accounting, Finance, Commerce, or related discipline.
• 5-8 years of Accounts Payable or Finance Operations experience.
• Prior experience leading teams, queues, or operational delivery.

Preferred Qualifications

• Container terminal billing experience involving lifts, restows, flips, stevedoring, and M&R charges.
• Experience in ports, maritime, shipping, transportation, freight, or logistics finance.
• Exposure to PayCargo settlements and payment platforms.
• Experience managing high-volume AP operations in a shared services or global business services environment.
