Sales Support & Warehouse Operations Specialist

You'll be the operational hub connecting our customers, sales team, and warehouse in Hurst, TX, owning everything from order entry to the box on the truck. 

It's a highly independent role that blends office-based work in our ERP and CRM systems with hands-on time in the warehouse - receiving, picking, packing, and shipping hardware. You'll be the main point of contact keeping multiple orders, licenses, and renewal cycles on track, with nothing falling through the cracks.

What You´ll Do:

Order Processing & Customer Support  

• Process orders end-to-end to be completed, billed, and shipped correctly
• Review purchase orders for accurate pricing, products, quantities, and customer information before processing.
• Prepare pricing quotes for new purchases and contract renewals.
• Coordinate service requests and installation-related activities with internal teams. 

Software Licensing, Renewals & Customer Setup  

• Create and manage trial, demo, and evaluation software licenses, and maintain customer software environments and access.
• Monitor upcoming subscription and support agreement expirations, and proactively drive renewals.
• Prepare renewal quotes, process renewal orders, and keep customer subscription records accurate. 

Warehouse, Inventory & Shipping  

• Manage daily warehouse operations - receiving, organizing inventory, packing, and preparing shipments.
• Monitor stock levels, run inventory counts, and process returns, defects, and replacements.
• Pack and ship hardware domestically and internationally (e.g., UPS WorldShip), including customs documentation.
• Resolve delivery issues, delays, or damages with carriers, and keep shipping records up to date. 

General Support  

• Serve as the go-to contact for customers, partners, and internal teams on orders, shipments, licensing, and renewals.
• Spot and suggest process improvements that boost accuracy and efficiency. 

About you:

• 1-3 years of experience in order processing, sales operations, customer support, contract administration, or similar business support work.
• Experience with inventory management, warehouse operations, or product fulfillment is a plus.
• Familiarity with ERP, CRM, inventory, or shipping platforms.
• Strong Excel, Outlook, and general business-software skills.
• Exceptional attention to detail and comfort juggling multiple priorities at once.
• Clear written and verbal communication.
• A self-starter mindset - organized, accountable, and just as effective working solo as with cross-functional teams.
• Bachelor's degree preferred, or an equivalent mix of education and experience. 

Work Environment:

• This role is based full-time, in person, at Y Soft's North America headquarters in Hurst, TX - no remote or hybrid arrangement is available. 
• Standard business hours apply, Monday-Friday, with occasional flexibility to cover order deadlines or urgent shipment issues.
