Executive Assistant

• Hours / Time Zone:  Regular Nigerian time, 2 hours of overlap with ABT  3 times a week 
• Reports To: MD/CEO

Core Responsibilities

• Inbox Management: Daily triage, organizing priorities, and drafting correspondence in the executive's 'voice'.
• Calendar Management: Active scheduling, rescheduling, filtering meeting requests, and protecting deep-work focus time.
• Follow-Ups & Action Items: Maintaining a running list of open loops and ensuring deadlines are met.
• Travel & Logistics: End-to-end flight, lodging, and itinerary coordination, plus monthly expense reporting.
• Projects & Operations: Preparing meeting agendas, slide decks, briefing docs, and managing light cross-team coordination.
• AI & Automation Upkeep: Utilizing AI writing or scheduling tools e.g., ChatGPT, Claude to streamline repetitive workflows.
• Any other assigned relevant task

 Work Expectation

• Communication: Daily updates
• Response Time: Acknowledging or replying to messages within [1 hour] during core operating hours.
• Discretion: Handling sensitive company, financial, and personal information with strict confidentiality.

Requirements

• Language Skills: Strong written and spoken communication skills
• Experience:  dedicated experience as a virtual, senior administrative, or executive assistant is desired
• Mindset: Strong ownership, proactive problem-solving, and a habit of proofreading documents
• Home Office Setup: Reliable high-speed internet, a quiet workspace, and an HD webcam for video calls
