About the Role :

The Facilities Management Planner plays a key role in ensuring the smooth, efficient operation of our facilities by managing the full lifecycle of maintenance tickets and work orders. This role combines hands-on coordination of reactive and preventive maintenance with data-driven analysis to track performance, identify trends, and drive continuous improvement across facility operations.

Responsibilities :

• Triage, prioritize, and assign incoming facilities service requests within the Ticketing Portal (CMMS/CAFM)
• Schedule and dispatch reactive maintenance tickets and scheduled preventive maintenance (PPM) to technical teams and vendors based on asset priority and SLA commitments
• Track open work orders from initial logging through execution to closure, ensuring clear communication with end-users throughout the lifecycle
• Coordinate site access permits, work permits, and completion sign-offs for external service providers
• Track and report on core facility metrics, including Mean Time to Repair (MTTR), SLA achievement, first-time fix rates, and reactive vs. preventive workload ratios
• Build and maintain facility performance dashboards using data visualization tools
• Perform trend analysis on ticket volume and asset failure rates to identify operational bottlenecks and chronic equipment failures
• Evaluate vendor performance data to support SLA reviews, contract negotiations, and invoice approvals
• Enforce Standard Operating Procedures (SOPs) for ticket logging, status updates, root-cause tagging, and purchase order tracking
• Conduct weekly audits of closed work orders to verify data accuracy, complete documentation, labor/material cost attribution, and safety compliance
• Conduct root-cause analysis (RCA) on SLA breaches or critical failure events to prevent recurrence

Requirements :

• 3-5 years of experience in Facilities Management or a related field
• Strong analytical skills with proven experience in data analysis, reporting, and data visualization tools
• Hands-on experience with CMMS/CAFM systems
• Ability to interpret operational KPIs and support data-driven decision-making
• Excellent organizational and communication skills, with the ability to coordinate effectively with technical teams, vendors, and stakeholders
