Client needs to spend his time building the business: systems, products, suppliers and growth.
Your job is to run the day-to-day so he can. Within 6 weeks you should be doing at least 80% of
the tasks in this document w/o the client.
You own
Every enquiry and deal in HubSpot, from first email to delivered fence
Quotes, follow-ups and customer emails
Invoices, payments and the books in Xero
Sales orders, freight and the warehouse
Keeping files, stock and data correct
Client keeps
All phone calls with customers and builders
Pricing, discounts and credit terms
Approving every payment
Technical and compliance answers
Complaints and warranty decisions
You work
together on:
Closing deals: you prepare, client calls
Big or unusual quotes
Supplier and container orders
Problems after delivery
Improving these SOPs
Qualifications
Skills Required
- Sales administration experience
- Strong computer and CRM skills
- Excellent written English
- Attention to detail
- Ability to manage multiple systems and tasks
- Knowledge of Xero, HubSpot, inventory, or construction products is an advantage
Success Measures
- Respond to enquiries within 1 business day.
- Maintain accurate CRM records.
- Complete follow-ups on time.
- Process orders without errors.
- Keep bank reconciliations current.
- Take over at least 80% of client's operational workload within 6 weeks.
