Senior Executive – Procurement

Role Overview

We are looking for a Senior Executive - Procurement to support end-to-end procurement activities covering IT hardware, gaming technology, software, mobile devices, administration and facilities.

The candidate should have strong hands-on experience in vendor sourcing, RFQ management, commercial negotiations, comparative analysis, purchase orders, delivery coordination and vendor management.

The role will also require awareness of Indian and international online procurement portals, OEM websites and global suppliers, with the ability to evaluate pricing, authenticity, warranty, logistics and total landed cost.

Key Responsibilities

1. IT & Gaming Technology Procurement

Handle procurement of:

• Laptops, desktops, gaming PCs and high-end workstations
• GPUs, CPUs, RAM, SSDs, servers and storage
• Monitors, networking equipment and IT peripherals
• PlayStation, Xbox, Nintendo and other gaming platforms
• VR/AR equipment, controllers and gaming accessories
• Game-development and testing hardware
• Mobile phones, tablets and test devices
• Software licenses, SaaS and technology services
• Cybersecurity and other IT solutions

Work closely with IT, Game Development, QA, Engineering and Business Teams to understand requirements, obtain quotations and ensure timely procurement.

2. Online & Global Procurement

Support sourcing through Indian and international online portals, OEM websites and authorized distributors.

Exposure to platforms such as:

• eBay
• Amazon Global
• Newegg
• B&H
• OEM / Authorized Distributor portals

Responsibilities include:

• Price comparison and benchmarking
• Seller and product authenticity verification
• India vs. international price comparison
• Model number and regional variant verification
• Warranty validation
• Shipping and logistics evaluation
• STPI / Customs / duty / tax considerations
• Foreign exchange impact
• Total landed-cost calculation
• International return/refund assessment

3. Admin & Facilities Procurement

Support procurement of workplace and facility-related products and services, including:

• Facility Management Services
• Housekeeping
• MEP services
• Fire & Life Safety
• Cafeteria
• Pest Control
• Events
• Facility consumables
• AMC and service requirements

4. AMC & Service Contract Management

Support commercial negotiations and renewals for AMCs and service contracts.

Key activities:

• Obtain and compare AMC quotations
• Negotiate pricing and commercial terms
• Review SLA/KPI requirements
• Check preventive maintenance scope
• Validate response and resolution timelines
• Review warranty and spare-parts coverage
• Identify exclusions and additional charges
• Track AMC/service contract renewals
• Monitor vendor performance

Exposure to AMCs for HVAC, UPS, DG, Fire Alarm, Fire Fighting, CCTV, Access Control, BMS, Elevators and IT Hardware will be an advantage.

5. Sourcing & Cost Optimisation

• Identify and onboard suitable vendors
• Conduct RFQ/RFP processes
• Obtain competitive quotations
• Prepare comparative statements
• Benchmark market pricing
• Negotiate price, payment, warranty and delivery terms
• Develop alternate vendors
• Support cost-saving and cost-avoidance initiatives
• Evaluate buy / lease / rental options
• Support TCO and commercial feasibility analysis

6. Vendor Management

• Vendor identification and evaluation
• Vendor onboarding and documentation
• PO and contract coordination
• Follow up on deliveries and services
• Monitor vendor performance
• Track SLA/KPI compliance
• Coordinate issue resolution
• Maintain vendor database and records
• Support periodic vendor performance reviews
• Track contract and AMC renewals

7. End-to-End Procurement Operations

Manage procurement activities from:

Requirement → RFQ → Technical Evaluation → Commercial Evaluation → Negotiation → Comparative Statement → Approval → PO/Contract → Delivery/Service → Invoice → Vendor Review → Renewal/Closure

Ensure all procurement activities are completed in accordance with company policies, approval processes and audit requirements.

Required Experience & Qualifications

Essential

• 4-7 years of experience in Procurement / Strategic Sourcing / IT Procurement
• Hands-on experience in IT hardware and software procurement
• Experience in Admin & Facilities procurement
• Experience in AMC and service-contract negotiations
• Vendor management and commercial negotiation skills
• Experience in RFQ/RFP and comparative analysis
• Good understanding of procurement processes and controls
• Good Excel and procurement MIS skills
• Strong coordination and stakeholder-management skills
• Working knowledge of STPI processes for import/export of material

Preferred

• Experience in Gaming / Game Development / IT / Technology / Animation / VFX / Media & Entertainment
• Gaming hardware procurement experience
• Mobile device procurement experience
• Global online procurement exposure
• International sourcing / import procurement exposure
• Experience with eBay, Amazon Global, B&H, Newegg or similar portals
• OEM / authorized distributor coordination
• Basic understanding of international logistics, customs and landed-cost calculations
