This role is responsible for delivering timely, accurate, and engaging communications to guests across a portfolio of destination events, artist tours, and VIP programs. You will manage high-volume outreach through email, SMS, and app notifications, ensuring every message is clear, polished, and delivered to the right audience. The position combines hands-on campaign execution, meticulous quality assurance, guest communication, and operational coordination. You will work closely with operations, ticketing, program managers, and artist services teams to support guests throughout their event experience. Because live events can change quickly, you will also play an important role in handling urgent, time-sensitive communications outside standard business hours. This is a fast-paced environment where attention to detail, responsiveness, and strong written communication are essential. Accountabilities:
- Build, test, schedule, and deploy email, SMS, and app push notification campaigns using Klaviyo across multiple events and programs.
- Draft clear, engaging, and on-brand guest communications, including welcome messages, reminders, event updates, operational notices, and reusable communication templates.
- Create and maintain welcome series and communications for artist and event services programs.
- Thoroughly proofread all campaign content, checking grammar, spelling, formatting, merge fields, active links, and other campaign details before launch.
- Verify audience segmentation to ensure communications reach the correct guests based on VIP status, package type, event, dates, or other relevant criteria.
- Serve as a key after-hours contact for road teams and operational stakeholders, responding to urgent day-of-show changes, weather updates, and other time-sensitive guest communications.
- Determine the most appropriate communication channel for urgent updates, including email and SMS, based on the situation and audience.
- Monitor campaign deliverability, including hard bounces, invalid addresses, suppressions, and unsubscribe compliance.
- Identify recurring data-quality or deliverability issues and communicate them to relevant program and operations teams.
- Manage incoming communication requests from Program Managers, Operations, Ticketing, and other stakeholders while providing clear updates on campaign timelines and status.
- Track campaign volumes, turnaround times, and performance metrics to identify opportunities for improving communication workflows.
- Continuously improve campaign drafting, quality assurance, segmentation, and deployment processes to increase efficiency and reduce errors.
- 1-2 years of experience in email or SMS marketing, guest services, customer communications, hospitality, entertainment, live events, or a related field.
- Excellent written and spoken English, with exceptional proofreading and editing skills.
- Outstanding attention to detail and the ability to identify small errors in copy, links, audience data, formatting, and campaign settings.
- Familiarity with email service providers or marketing automation platforms such as Klaviyo, Mailchimp, or similar tools.
- Hands-on experience building, testing, scheduling, or deploying customer communication campaigns is highly valuable.
- Ability to work reliably during after-hours and weekend periods when urgent event-related communications require immediate attention.
- Strong judgment and the ability to select the appropriate communication channel based on urgency, audience, and context.
- Excellent organizational and prioritization skills, with the ability to manage multiple concurrent communication requests under tight deadlines.
- Comfortable working with basic campaign data, monitoring deliverability metrics, and identifying unusual campaign activity or anomalies.
- Familiarity with project management tools such as Asana is an advantage.
- Previous experience working directly with tour management, road teams, live event operations, ticketing platforms, or hospitality programs is preferred.
- Strong experience with Klaviyo and advanced audience segmentation strategies is a significant advantage.
- Proactive, dependable, and comfortable operating in a high-energy environment where priorities can change quickly.
- Strong collaboration and communication skills, with the ability to coordinate effectively across operational, ticketing, marketing, and program teams.
