Estate Manager & Family Assistant with Childcare & Meal Prep

Location: Baltimore, MD 21218

Employment Type: Full-Time | 37.5-40 hours per week (37.5 guaranteed)

Schedule: Monday-Friday, 12:00-7:30 PM, with occasional flexibility for early-morning school drop-offs and full-day supervision during school closures.

Compensation: $32-$38 per hour | W-2

Start Date: ASAP

Requirements

  • Reliable personal transportation and valid driver's license required.
  • Maintain a smoke-free environment.
  • Must be authorized to work in the United States.
  • Candidates are required to be up to date on recommended vaccinations in line with American Academy of Pediatrics and Centers for Disease Control and Prevention guidelines (including seasonal flu vaccines), subject to applicable legal accommodations.
  • CPR and First Aid certification required.
  • Must be comfortable with both dogs and cats.
  • Ability to navigate multiple flights of stairs.

We are a busy, high-functioning family of four settling into our beautiful historic home in North Baltimore, along with our friendly dog and beloved senior cat. We recently relocated and are enjoying settling into our new home and community. Our 10-year-old twin boys keep life active, and we value creating a home that feels warm, organized, and connected.

Our large, multi-story home is active and full of moving pieces. Both of us have demanding careers, often working 60hour weeks, with one parent traveling every 6-8 weeks, so having someone we can truly rely on to keep the household moving forward is incredibly important to us.

We’ve built careers we’re proud of and hold ourselves to high standards, both at work and at home. We value kindness, trust, and mutual respect, and want the people who work with us to feel appreciated and supported. We’re looking for someone who will become a trusted part of our household and feel genuinely welcomed here.

As our twins have grown, our needs have shifted from primarily childcare to much more of a focus on household management. We’re looking for someone who is dynamic, capable, and naturally attentive - someone who can get to know our family, understand what matters to us, and carry that knowledge forward in their work.

We value someone who can take information, connect the dots, anticipate what’s needed, and adapt as things change, rather than needing to be reminded or directed at every step. Ultimately, we’re looking for someone who will take ownership of their role and help make our family’s day-to-day life feel a little easier.

Who You Are / What We're Looking For

You are exceptionally reliable, accountable, and proactive. You notice what needs attention, take initiative without waiting for direction, and follow things through to completion. You’re a natural problem-solver with the judgment to know what you can handle independently and when something needs to be escalated.

You’re comfortable moving seamlessly between estate management and family support - coordinating a vendor, managing household organization, preparing for guests, handling errands or groceries, and then shifting into school pickup, homework, or dinner.

With our boys, you’re warm, hands-on, and invested in building a genuine relationship. You reinforce independence by involving them in cooking, pet care, laundry, and age-appropriate chores rather than simply doing everything for them. You hold them accountable while recognizing that, as the adult, you ultimately ensure things get done.

You also bring creativity and confidence in the kitchen. You’re comfortable shopping thoughtfully, preparing fresh whole-food meals, working within dietary preferences, and introducing new dishes without needing every detail mapped out for you.

Most importantly, you take pride in operating at a high level and are looking for a long-term position where you can become a deeply trusted and valued part of a family's life.

Key Responsibilities

Family Support

  • Daily school pickup (4:30 PM most days)
  • Flexibility for back-up morning drop-off
  • After-school supervision (homework help, chores, creative time (no screen time), etc.)
  • Flexibility for full day supervision during school closures
  • Support children in completing their own chores and responsibilities
  • Facilitate afternoon routines: backpack prep, snacks, clothing for next day
  • Kid-related errands; appointment transport

Household Organization & Maintenance

  • Create and maintain household organization systems throughout the home
  • Daily resets and preparing the home ahead of cleaners
  • Light tidying: dishes, surfaces, vacuuming high-traffic areas
  • Guest, holiday and event preparation
  • Coordinate donation drop-offs
  • Packing for the kids and unpacking for the whole family after travel
  • Indoor plant care
  • Manage trash bins on collection days
  • Monitor household maintenance needs (batteries, light bulbs, smoke detectors, etc.) and notify the family proactively

Pet Care

  • Daily feeding and dog walks
  • Litter box management (scooping, vacuuming, collaborating with children)
  • Scheduling vet and grooming appointments
  • Maintaining pet supplies

Meal Support

  • Prepare 1-2 family dinners per week
  • Prep ingredients for family to cook
  • Grocery shopping
  • Kitchen clean-up and ongoing maintenance
  • Follow all family dietary preferences and needs

Inventory & Errands

  • Manage running household supply lists and restocking pantry, fridge, and household supplies
  • Returns, dry cleaning drop-offs, and gift shopping
  • Mail and package handling; breaking down boxes

Laundry & Linens

  • Wash, fold, and organize laundry; ironing and steaming uniforms
  • Special garment care
  • Linen rotation
  • Maintain tidy and well-stocked laundry areas

Vehicle Upkeep

  • Fueling, cleaning, and organizing family vehicles
  • Scheduling routine maintenance

Deep Cleaning & Special Projects

  • Organizational projects (toys, gear, storage areas, etc.)

Vendor & Property Oversight

  • Oversee cleaners, contractors, and other vendors
  • Coordinate and escalate repairs as needed

Administrative Support

  • Calendar awareness, including family schedules and household logistics
  • Event and appointment coordination
