Deep Sync is the AI-driven identity data company that resolves fragmented customer data into real people for accurate targeting, activation, and measurement.

Description

Deep Sync is the industry leader in deterministic identity and AI-powered data solutions. Leveraging our 35-year foundation of compiling direct mail-grade datasets, Deep Sync develops data-first technologies that power marketing, measurement, AI, and business intelligence for agencies and brands with our fully deterministic identity graph, privacy-first audiences, comprehensive data solutions, and integrations with leading platforms and cloud providers.

Position Overview

The Senior CRM & Business Intelligence Analyst plays a critical role at Deep Sync by leading the administration, optimization, and strategic utilization of our HubSpot CRM platform while developing business intelligence solutions that support data-driven decision-making and operational efficiency.

This hybrid role combines CRM administration, business intelligence, data analytics, and cross-functional business strategy. The ideal candidate will bring both technical expertise and strategic thinking, with the ability to translate business needs into practical solutions, develop actionable insights, and independently execute projects from concept through implementation.

As a lean, evolving technology organization, Deep Sync values individuals who are adaptable, resourceful, and comfortable wearing multiple hats. This position is well-suited for someone who thrives in a startup or small-to-midsize technology environment, enjoys broad ownership, and can balance strategic initiatives with hands-on technical execution.

Direct, hands-on HubSpot experience is required. This position will report directly to the VP of Operations and collaborate closely with leadership and cross-functional teams throughout Deep Sync.

Essential Skills:

  • Advanced proficiency in HubSpot CRM administration, configuration, workflow automation, reporting, integrations, and system optimization.
  • Strong analytical and technical capabilities, including SQL and PostgreSQL (Postgres) proficiency, and experience developing business intelligence dashboards and reporting solutions.
  • Experience with Grafana, Power BI, Tableau, Looker, or a comparable business intelligence and visualization platform.
  • Ability to translate complex business requirements and datasets into actionable insights, technical solutions, and operational improvements.
  • Strong understanding of CRM data management, governance, data integrity, and reporting best practices.
  • Understanding of data privacy obligations, including the California Consumer Privacy Act (CCPA) and applicable state privacy laws, as they relate to CRM data collection, use, retention, and governance.
  • Ability to develop scalable processes, automate manual workflows, and improve efficiency across business systems.
  • Skilled communicator who can translate technical concepts and analytical findings into clear recommendations for both technical and nontechnical stakeholders.
  • Ability to work closely with a variety of teams, including Sales, Marketing, Customer Success, Product, Engineering, and Operations.
  • Strong organizational and project management skills, with the ability to independently prioritize competing initiatives.
  • Strategic thinking and sound judgment, with the ability to see the broader business picture while remaining comfortable executing detailed technical work.
  • Adaptability, resourcefulness, and a proactive, solutions-oriented approach in a fast-paced, evolving environment.

Key Responsibilities:

  • Serve as the primary administrator and subject matter expert for HubSpot CRM, overseeing system configuration, maintenance, optimization, and ongoing enhancements.
  • Develop and execute CRM strategies aligned with company objectives, operational priorities, and business growth.
  • Design, implement, and optimize HubSpot workflows, automation, pipelines, reporting, and integrations with other business systems.
  • Reconcile and integrate CRM data with finance and ERP systems (e.g., Sage), ensuring consistent records and reliable cross-functional reporting.
  • Maintain CRM data quality, governance, security, user permissions, and system documentation.
  • Develop and maintain business intelligence dashboards, reports, and analytical solutions that support leadership and cross-functional decision-making.
  • Utilize SQL and business intelligence tools to extract, analyze, transform, and visualize data from HubSpot and other business systems.
  • Partner with stakeholders to identify key performance indicators (KPIs), reporting requirements, and opportunities for operational improvement.
  • Own recurring leadership and board-level reporting, translating CRM and business performance data into clear, decision-ready insights.
  • Analyze business performance, identify trends and inefficiencies, and translate findings into actionable recommendations.
  • Identify and implement opportunities to automate manual processes, streamline reporting, and improve data accessibility and accuracy.
  • Lead CRM enhancements, data migrations, integrations, and system improvement initiatives as business needs evolve.
  • Provide HubSpot training, technical support, and guidance to internal users to improve adoption and effectiveness.
  • Establish and maintain best practices for CRM utilization, business intelligence, reporting, and data governance.
  • Evaluate emerging technologies, including AI-enabled analytics and automation, to identify opportunities for improved efficiency and scalability.
  • Independently manage multiple cross-functional projects while balancing strategic priorities with hands-on execution.

What You’ll Focus on in Your First 6 Months:

  • Build out and optimize lead routing workflows and speed-to-lead reporting to improve visibility, accountability, and responsiveness.
  • Own and enhance leadership and board-level reporting, delivering accurate, timely, actionable business insights.
  • Keep HubSpot data, workflows, integrations, and reporting aligned with Deep Sync’s new platform transition.

Requirements

  • Direct, hands-on experience administering, configuring, and optimizing HubSpot CRM is required. Experience exclusively with other CRM platforms, including Salesforce or Microsoft Dynamics, does not satisfy this requirement.
  • Proficiency in SQL, including PostgreSQL (Postgres), for data extraction, manipulation, and analysis.
  • Demonstrated experience developing dashboards and reporting solutions using Grafana, Power BI, Tableau, Looker, or a comparable business intelligence platform.
  • Experience with CRM workflow automation, system integrations, data management, and reporting.
  • Understanding of data privacy obligations, including CCPA and applicable state privacy laws, as they apply to CRM data.
  • Ability to independently manage and contribute directly to technical projects from planning through implementation.
  • Strong analytical, problem-solving, communication, and stakeholder management capabilities.
  • Familiarity with Google and Microsoft productivity suites.
  • Ability to work effectively across departments and adapt to evolving business needs and priorities.

Experience:

  • At least 5 years of relevant professional experience in CRM administration, business intelligence, business systems, revenue operations, data analytics, or related roles.
  • At least 3 years of direct, hands-on HubSpot CRM administration and optimization experience.
  • Demonstrated experience developing and implementing business intelligence solutions, reporting frameworks, and data-driven operational improvements.
  • Experience working in a startup, small-to-midsize technology company, or similarly lean organizational environment preferred.
  • Background in B2B SaaS, data technology, MarTech, AdTech, or related industries preferred.
  • HubSpot certifications in CRM administration, Revenue Operations, Sales Hub, Marketing Hub, or related areas preferred.
  • Experience with HubSpot APIs, advanced integrations, data warehouses, ETL processes, or advanced data modeling preferred.
